What You Will Do
The Materials Synthesis and Integrated Devices (MPA-11) is seeking a motivated, customer service focused, and experienced individual to provide professional business and administrative support. MPA-11 currently has ~ 130 employees, including scientists, technologists, postdocs and students. Work in MPA-11 spans several basic and applied research programs. Our research focus areas include fuel cells, ultrasonic and electrochemical-based sensors, actinide materials synthesis and separations, carbon capture and sequestration, and nanomaterials synthesis/device integration.
The successful candidate will be expected to provide high-level professional administrative support to the group managers and employees. You will work closely with the MPA-11 administrative assistants in creating and maintaining a team environment marked by close cooperation, adaptability, regular communication, and a willingness to provide support where needed while serving as a point of contact, and resource. This position requires a motivated performer who is capable of quickly changing focus, acting independently, and is comfortable working with a broadly defined scope of work. You must be an excellent problem-solver and be able to anticipate challenges and obstacles and tactfully resolve them. While executing your responsibilities, you will consistently maintain a professional office atmosphere, demonstrating attention to detail and accuracy, initiative, versatility, tact, and confidentiality.
Professional Staff Assistant 1 $63,200 - $99,000
- Perform a wide variety of administrative functions with a high degree of initiative.
- Perform administrative functions associated with procurements, subcontracts, records management (IWDs and ATS), Guest/Visitors (including some HR actions/recruiting), Foreign National Visits, and Postdoc/student coordination.
- Assist with administrative tasks for the group office.
- Under limited direction, coordinates and assists in planning logistics, scheduling, announcements, and administrative facilitation of business, operational, and/or programmatic meetings and/or conferences.
What You Need
Minimum Job Requirements:
- Demonstrated experience in supporting standard office functions, such as, purchasing, performing calendar management, records management and providing customer service.
- Advanced hands-on working knowledge and experience with LANL standard applications and systems, including Oracle Time and Labor, Ariba, Concur (Foreign and Domestic), Utrain, FVTS, CMS, RASSTI, IWD/ATS, GSuite and Microsoft Teams.
- Demonstrated ability in prioritizing, organizing, and following through with completing multiple tasks.
- Demonstrated ability to work effectively under pressure to meet deadlines with interruptions, and while sometimes changing priorities.
- Demonstrated mentoring and teaming skills. Utilization of tact, diplomacy, and discretion in dealing with sensitive and confidential information.
- Advanced experience with solving problems, developing solutions, and innovating business practices to ensure customer satisfaction.
- Demonstrated record of dependability and reliability.
- Excellent interpersonal, verbal, and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations, to include grammatical proficiency, formatting, and editing capabilities of written materials.
- Proven experience preparing formal correspondence documents and presentations with considerable responsibility towards content while ensuring accuracy and attention to detail.
- Demonstrated ability to work well as a team player, strong customer and interpersonal skills and a record of dealing effectively with conflict.
- Demonstrated ability to assist other administrative assistants with high volume tasks.
Education/Experience: Position requires a bachelor's degree and a minimum of two years related experience; or an equivalent combination of education and experience directly related to the occupation.
Desired Qualifications:
- Demonstrated experience providing administrative support to a large organization in a fast changing environment.
- Knowledge of Laboratory organizational structure, operations, and administrative policies and procedures.
- Current LANL Designated Procurement Representative and Purchase Card Holder
- Experience interacting with high-level managers and officials, both internal and external.
- Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive, personnel related information.
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.
