Position Summary
The purpose of this classification is to perform specialized work, under general supervision, in maintaining a complex records management system for the City of Manassas Police Department.
Position is opened until filled and may close at any time.
Essential Job Functions
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Processes warrants: Disseminates, enters, modifies, maintains, conduct audits, and clears warrant paperwork, including extradition information to Investigative Services Division supervisor; compiles and prepares warrants for quarterly reports to CWAO for destruction; maintains Warrant Control Log for in-house tracking purposes; receives calls about warrants and returns to appropriate agencies and courts; enters and maintains copies of all protection orders; and attends protective order meetings with the VSP and other localities for discussion of policy and procedure changes, problems, etc.
Prepares Incident Based Reports: Disseminates, enters, and modifies IBR; electronically submit on a timely basis for a monthly state audit in order to receive the 599 block grant for each locality. Data is official figure for local, state, and national crime statistics.
Processes FR300 Accident Reports: Reviews, modifies, prints, files and destroys on a yearly basis per state mandate; mails copies to the DMV per state mandate and upload crash reports to authorized 3rd party vendors.
Handles Virginia Uniform Summons and processes e-Summons to Virginia Supreme Court (VSC) portal: Disseminates, enters, files, maintains and destroys on a yearly basis per state mandate.
Processes Juvenile and Adult Arrest Information: Disseminates, enters, files, and maintains w/dispositions in a secure area per state mandate; files and maintain finger print cards in a locked and secure area; and maintains juvenile arrest/detention log for in -house tracking purposes.
Enter pawns tickets and tow sheets into RMS.
Processes background record checks for citizens, military personnel, government officials and other law enforcement agencies: Processes accident/offense reports for insurance companies, law offices, and the general public.
Compiles records section proofs for CALEA standards on quarterly or other required basis.
Performs customer service: Greets, directs and provides general information to the public, other law enforcement agencies, government officials, etc.; monitors and forwards phone calls to appropriate department/division; and disburses incoming mail, and notifies personnel of packages that have received from USPS, UPS, and Fed Ex deliveries.
Organizes and disseminates paperwork and police records, etc. accurately to employees, other agencies and the general public upon request.
Attends required department trainings including community policing, emergency management, VCIN/NCIC certification, mental health, and notary public.
Maintains office equipment (printer supplies, file notebooks, etc. to include ordering, changing and replacing).
Performs other duties as required.
Minimum Required Qualifications
High School diploma or GED and Vocational/Technical Certification required; supplemented by one year of related job experience; or any equivalent combination of education, training and experience that provides the required knowledge, skills and abilities for this job.
Special Requirements
Must be able to pass a background investigation, polygraph, drug test and psychological exam. Must have or be able to obtain a VCIN/NCIC certification and Notary Public within six months of hire.
