ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES: Event Coordination
Plan, organize, and execute marketing events, including trade shows, conferences, webinars, and community outreach activities.
Manage event logistics, which could include venue selection, catering, transportation, attendee registration, speaker coordination, flow of event, and audiovisual needs.
Collaborate with marketing teams to create and execute promotional materials and communications for events.
Monitor budgets and ensure all events align with established financial parameters.
Gather feedback from attendees post-event to assess success and areas for improvement.
Project Coordination
Assist in the development and execution of marketing campaigns and programs, ensuring alignment with organizational goals.
Track project timelines, milestones, and deliverables, providing regular updates to stakeholders.
Work closely with cross-functional teams to ensure all project components are completed on schedule and meet quality standards.
Maintain project documentation, including project plans, status reports, and meeting notes.
Facilitate communication between departments to address issues and ensure collaboration across teams.
Vendor Coordination
Source and manage relationships with external vendors, including printers, promotional item suppliers, and event services.
Request quotes and negotiate contracts to ensure competitive pricing and service delivery.
Monitor vendor performance to ensure commitments are met and quality standards are upheld.
Provide timely updates to vendors about project needs and timelines, maintaining positive relationships to encourage ongoing collaboration.
Collaborate with internal teams to ensure compliance with organizational policies related to vendor selection and management.
ADDITIONAL RESPONSIBILITIES:
Works with outside vendors, such as graphic designers, photographers, printers, sign manufacturers, mail fulfillment houses, newspapers, and radio and television stations to ensure high quality, timely service.
Supports other departments, campaigns, and organization initiatives.
Performs any functions necessary, within scope of authority and expertise, to provide the highest level of customer service and responsiveness to both internal and external constituencies served by the Marketing and Communications Department.
QUALIFICATIONS (Required):
Associates Degree, or Bachelor’s degree in Marketing, Communications, Business, or a related field preferred.
3+ years of experience in marketing, and event planning.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Proficiency in project management and marketing software/tools.
Ability to work collaboratively in a fast-paced environment.
Ability to manage multiple projects simultaneously and be extremely organized.

ADDITIONAL DESIRABLE QUALIFICATIONS:
Experience with graphics programs and/or graphic design is a plus.
