JOB
An employee in this class is responsible for providing advanced-level executive secretarial support of a confidential nature for a Supreme Court Justice. This position involves extensive public contact, office management, word processing, case scheduling and calendaring functions. The incumbent relieves a judge of clerical work and minor administrative and business details. The employee is expected to function independently and exercise discretion. Work is performed based on standard practices and in accordance with established policies and is reviewed in progress by a Supreme Court Justice.
EXAMPLE OF DUTIES
(Any one position may not include all of the duties listed, nor do the examples cover all the duties which may be performed)Receives, screens, and routes incoming telephone calls and callers and takes complete and accurate messages; screens mail; maintains the justice’s personal calendar; makes travel arrangements, arranges meetings and maintains a schedule for use.Assists in the preparation of draft opinions and orders.Facilitates the distribution of confidential draft opinions and orders.Prepares and processes various legal documents and correspondence requiring the application of complex clerical procedures and a comprehensive knowledge of court rules and terminology.Maintain logs, records and files pertaining to the status of cases and courtroom activities.Performs a variety of confidential, technical, and general clerical tasks, and minor administrative work for the judge; takes and transcribes hand and machine dictation.Manages access to judicial chambers.Serves as liaison to other internal offices for the justice.Other duties as assigned or required.

Knowledge, Skills and Abilities Thorough knowledge of legal terminology and format.Thorough knowledge of court rules and practices.Thorough knowledge of business English, spelling and punctuation.Thorough knowledge of office practices, procedures, equipment and standard clerical techniques.Ability to understand and carry out moderately complex oral and written instructions.Ability to communicate orally and in writing.Skilled in taking and transcribing dictation from hand or machine, if required by the position.Skilled in typing a minimum rate of 80 words per minute.Working Conditions The work is performed primarily in an office environment. Physical Demands Positions require activities such as sitting for long periods, standing, bending, stooping, reaching, climbing stairs, lifting, moving and transferring objects weighing less than 25 pounds, and operating office equipment.
