Minimum Qualifications & Requirements
High School Diploma or GED and three years of experience providing administrative support; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties such as those listed.
Must have strong computer skills, including proficiency in Microsoft Office products (Word, Outlook, Excel, and Power Point).

Positions may require:
Valid Arizona Driver's License and the ability to maintain insurability under Valley Metro's vehicle insurance policy.

Provides administrative and clerical support to the Business Manager and administrative staff for office projects, vendor coordination, office maintenance requests, and division meetings and events.
Maintains regular attendance and punctuality to ensure consistent support and reliable service for the team and daily operations.
Processes supply orders and delivers materials as needed; monitors and maintains supply inventory, including ordering, stocking, and distributing supplies and equipment for the office, workroom, and kitchen.
Maintains and tracks a variety of databases, records, forms, and files, retrieves and disseminates requested information;
Answers multi-line phone system providing routine and general information, directs calls, greets visitors;
Provides customer service to the general public, internal staff, and vendors, responds to inquiries, and provides information;
Processes mail and deliveries by sorting, distributing, and handling incoming and outgoing correspondence and packages, ensuring timely and accurate delivery to the appropriate recipients.
Prepares quotes for agency requisitions, reconciles invoices by matching them with purchase orders and receipts, and prepares invoices for payment by ensuring all required documentation is accurate and complete.
Proofs, edits, and prepares correspondence, forms, and documents by reviewing content for accuracy, clarity, and completeness. This includes correcting grammar, spelling, and formatting errors, ensuring that all documents are properly formatted and ready for distribution or filing.
Keeps conference rooms, kitchens, and other shared spaces clean, organized, and well-maintained.
Assists the Non-Revenue Vehicle Maintenance Coordinator by scheduling and coordinating vehicle maintenance pick-up times and transports company vehicles to and from car wash facilities as needed.
Performs other duties of similar nature and level as assigned.

Physical Demands / Work Environment
Mobility to work in a typical office setting and use standard office equipment, vision to read printed materials and a computer screen, and hearing and speech to communicate in person or over the telephone. May be required to drive a motor vehicle to drive to other Valley Metro local business sites.
