This role requires a strong grasp of accounting and administrative functions, supporting both accounts receivable and payable processes. The successful candidate will bring accuracy, efficiency, and a proactive approach to managing financial transactions, customer orders, and vendor communications. Additionally, as part of our cross-functional approach, every team member is expected to cross-train in various aspects of the business, gaining an understanding of our operations and supporting colleagues as needed. Key Responsibilities for the Accounting Support Specialist:
Generate and verify invoices.
Matching quantities and prices with customer purchase orders.
Cross-check customer information, item details, and prices.
Distribute customer invoices along with relevant shipping information via email as requested.
Enter approved A/P transactions and cross-verify with receipts.
Organize vendor invoices alphabetically and maintain up-to-date records of Capital Expenditures for audit and documentation.
Prepare Bills of Lading (BOLs) for third-party shipments, coordinating with the shipping team for carrier selection and shipment tracking.
Assist in entering and managing purchase orders
Receive training Purchasing and Inventory programs.
Develop a professional layout for customer quotes, understanding our manufacturing and costing processes to provide comprehensive and timely quotes for a variety of products.
Collaborate with the Account Manager and relevant teams to ensure that quotes align with the full scope of our manufacturing operations.
Participate in cross-training to support various business functions, ensuring seamless coverage and an integrated team approach.
Qualifications for the Accounting Support Specialist:
2+ years of experience with Sage Businessworks is preferred.
Strong attention to detail with a commitment to accuracy in all data entries and communications.
Ability to learn quickly and adapt to various accounting, shipping, and inventory processes.
Excellent organizational skills and proficiency in managing multiple tasks and priorities.
Basic understanding of supply chain processes, inventory management, and vendor relations.
