About the role:
We are seeking a highly organised and detail-oriented Executive Assistant to support our Executive Team. This dual-role position requires a proactive individual with exceptional communication skills, strong organisational abilities, and advanced proficiency in creating high-impact presentations, meaning you are a presentation specialist. The successful candidate will play a key role in managing the daily operations of several of our executive team, while also producing visually compelling and effective presentations for internal and external stakeholders.
Role specifics:
- Manage complex calendars, schedule meetings, and coordinate appointments.
- Arrange travel itineraries, accommodations, and transportation for executives.
- Prepare and process expense reports, ensuring timely submission and accuracy.
- Handle confidential information with the highest level of discretion and professionalism.
- Draft, review, and manage correspondence, reports, and other documents as required by the executives.
- Act as the primary point of contact between the executive team and internal/external stakeholders.
- Manage the actions log from the weekly exec meetings across the entire team. Provide regular updates to the executive team on status and outcomes of actions.
- Assist CEO Executive Assistant in coordinating and managing special projects as assigned by the Executive Team.
- Track project timelines, deliverables, and milestones, ensuring that all tasks are completed on time.
- Create and design high-quality presentations for executive meetings, board meetings, external events and other key events.
- Translate complex ideas and data into clear, engaging, and visually appealing slides using Power Point and other presentation tools.
- Collaborate with executives and Communications Manager to gather content and ensure that presentations align with the company’s strategic goals and messaging.
- Continuously update and improve existing presentation templates to maintain consistency with the company’s branding guidelines.
- Assist with rehearsal and preparation for executive presentations, ensuring all materials are accurate and complete.
The ideal candidate will have:
- Minimum of 3 years of experience as an Executive Assistant, with a focus on supporting senior executives.
- Proven experience in creating high-impact presentations; portfolio of previous work is a essential
- Advanced proficiency in Microsoft Office Suite (especially Power Point).
- Strong organisational and multitasking skills, with the ability to prioritise tasks effectively.
- Excellent written and verbal communication skills.
- Ability to work independently with minimal supervision, as well as collaboratively in a team environment.
- High level of discretion and professionalism in handling sensitive information.
