Logistics Secretary
Job Title: Logistics Secretary
- Department: Logistics
- Reports to: Logistics Manager
- Employment Type: Full-Time
- Office Location: Dammam
Key Responsibilities:
- Administrative Support:
- Assist the logistics manager with daily tasks, scheduling, and correspondence.
- Prepare and maintain important documents, reports, and presentations for the logistics department.
- Handle incoming and outgoing communication (emails, phone calls, memos) for the logistics manager.
- Scheduling and Coordination:
- Organize and maintain the logistics manager’s calendar, including meetings, appointments, and travel arrangements.
- Coordinate meetings and ensure proper communication flow between departments (procurement, warehouse, contractors).
- Assist in the preparation of logistics plans and schedules to ensure timely delivery of materials and equipment for projects.
- Documentation and Record-Keeping:
- Maintain accurate records of shipments, deliveries, and other logistics-related documents (invoices, receipts, shipping documents).
- Ensure proper filing systems are in place for easy retrieval of logistics data.
- Inventory and Procurement Assistance:
- Support in tracking inventory levels and liaise with procurement to ensure timely replenishment of materials.
- Follow up with suppliers and vendors regarding orders, deliveries, and any discrepancies in the supply chain.
- Project Coordination:
- Assist the logistics manager in monitoring the progress of project-related logistics activities.
- Ensure that any logistical challenges during project execution are communicated promptly to the logistics manager.
- Reporting and Analysis:
- Assist in preparing regular logistics reports, including tracking deliveries, costs, and supply chain efficiency.
- Help in compiling data and presenting performance metrics for the logistics department.
- Compliance and Regulations:
- Ensure that logistics operations comply with the contracting company’s policies and external regulations (customs, shipping laws, etc.).
- Maintain records of certifications, licenses, and permits required for transportation and delivery operations.
- Communication and Relationship Management:
- Serve as a point of contact for internal and external stakeholders (suppliers, contractors, transportation companies) for logistics-related matters.
- Assist in resolving logistical issues by liaising with relevant parties and ensuring proper communication.
- Other Tasks:
- Handle special projects and other duties as assigned by the logistics manager.
Qualifications:
- Education: High school diploma or equivalent required; a degree in business administration or logistics management is a plus.
- Experience: Previous experience in a secretarial, administrative, or logistics-related role (preferably in the construction or contracting sector).
- Skills:
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point).
- Excellent communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Basic knowledge of logistics operations and supply chain management.
Job Type: Full-time
Pay: ﷼2,000.00 - ﷼3,000.00 per month
