We are seeking a positive and professional Assistant to work alongside the Executive Assistant to the Chief Executive to support the smooth functioning of the Office of the Chief Executive. This is an ideal position for anyone wanting to get exposure to working for a Chief Executive but who may not yet be ready to take on a permanent solo role as an Executive Assistant. About this role | Kō tēnei tūranga mahi As the Assistant to the Office of the Chief Executive, you will work closely with the Chief Executive's Executive Assistant to ensure that he is prepared and supported for his daily engagements. Key responsibilities will be to:
Schedule meetings;
Raise purchase orders and match approved invoices using our financial system;
Receive visitors from reception, welcome them, and offer and prepare refreshments;
Print and bind meeting papers;
Perform monthly credit card reconciliations;
Save documents and correspondence into Share Point.
About you | Ko ngā pūmanawa ū Ideally you will have experience providing administrative support and have a track record of exceptional customer service. You'll be dependable and punctual, and have a willingness to take on any reasonable requests to support the Chief Executive. You will be comfortable working in a busy, dynamic environment and managing your time and tasks well. You'll be proficient in MS Office Suite and possess good general computer skills. You will have a high level of discretion, and a positive and supportive work ethic. View the full Job Description The ideal incumbent will be available to work Monday, Tuesday, Thursday, and Friday from 8:00am - 2:30pm, however we would consider alternative schedules for the right candidate so please advise your availability. This position is fixed term until 31 January 2025.
