- Greet/manage incoming patients, directing them in person, by phone or Whats App or email to the proper areas or people and addressing their concerns by any and all means of client interaction available with utmost customer care and at all times maintaining a very favorable and positive Customer Experience for the client / patient.
- Carry out precursory assessment of incoming patients to determine if this could be an emergency or any pre-treatment is required.
- Keeping the flow of patients moving smoothly in a very friendly manner and maintaining a neat and clean front lobby area.
- Registers new patients and updates existing patient demographics by collecting detailed patient information including personal and financial information.
- Locate, review and update paper and computer files for the Vet. Includes preparing electronic medical records and laboratory result and or Xray imagery unto preferred media.
- Being aware of delays, and communicating with patients and clinical staff in a very gentle and calming manner.
- Handling the flow of traffic and liaising all initial communications between client / patient, Vet / backend staff/ hospital.
- Taking appointments over the phone, Whats App, email, walk-ins and all forms of verbal & nonverbal communication channels of interaction with client / patient
- Making follow-up appointments with clients for all aspects of visits
- Maximizing the schedule to create slots wherever possible – to fill up the daily calendar with appointments / surgeries / procedures / consults and visitation of all sorts
- Operate the copier, credit card machines, online transaction platforms, multi-line phone systems pc with veterinary hospital software, company Whats App and all devices at the front desk area.
- Handling stock count/daily administration and accounting reports.
- Minor office maintenance such as changing toners/all required forms and filling
- Assisting the Doctors, nurses and kennel handlers when is needed (inclusive but not limited to: Animal handling, hygiene of the cattery/kennels and other supportive work.)
- Conduct monthly/ weekly stock-take for all pharmaceutical, blood lab, supplements, food items / items for sale at the hospital and update quantity for orders
- Maintaining the cleanliness of the premise at all times.

- Diploma/Advanced Diploma (Preferred)
