Assist in administration matters of the department.
Coordinate internal and external mailings.
Assist in the department filing work.
Handle internal and external telephone calls.
Assist in the preparation of quotations and contracts and process proposals, contracts, mailings, etc.
Familiar with the operation and application of the hotel’s computer system.
Provide sales assistance and coordinate correspondence with the Sales, Catering and Event Managers where necessary.
Schedule appointments and meet prospects.
Act as the liaison between field sales person and client throughout the onsite process (pre-event, event, and post-event).
Manage group room blocks and meeting space of small assigned groups.
Ensure billing accuracy and conduct bill reviews with clients prior to processing final bill.
Work with supervisor to oversee the client experience from file turnover through the post event phase until turnover back to Sales.
Work under the guidance of supervisor to forecast group sleeping rooms and event revenue (catering and audio visual) for his/her groups.
Any other duties and responsibilities as assigned by the immediate superior as and when necessary.
Required Education : · Minimum Diploma or Degree in Business Administration, Mass Communication, Marketing or equivalent. Required Experience : · Minimum one (1) year working experience in the same field in hospitality and hotel industry. · Fresh graduates are encouraged to apply. Required Skills : · Good time and stress management, organization, planning and customer relations skills. · Good communication skills in English, Bahasa Malaysia and Mandarin. · Able to work long hours to complete outstanding sales, events coordination and administrative work.
