Reservations & Events Coordinator

JOB DESCRIPTION
Job Title: Reservations and Events Coordinator
Job Purpose: To sell bedrooms and events proactively for the hotel maximising occupancy and profitability of the venue as well as assisting in management of groups and tours.
Responsible To: General Manager
Overview:
We are looking for an experienced reservations and events coordinator to assist the Front Office Manager and their team to drive, promote and grow Dillons Hotel in all areas. The responsibilities include discovering and pursuing new sales prospects, maintaining customer satisfaction and driving brand positioning. With excellent communication skills you will be comfortable reaching out to potential customers to demonstrate our services and products through email, phone and face to face. Experience of a Hotel PMS and Sales/Events experience are preferential.
DESCRIPTION OF MAIN TASKS
Handle telephone, email and online enquiries for all reservations, events and celebrations, including but not limited to groups and tour travel.
Identify any selling possibilities and evaluating customer needs both online and in person
To assist the Front office manager to ensure all room types are available and visible online so that sell through dates are possible subject to in house availability
To research & generate sales leads and make appointments as necessary through daily reading of newspapers, magazines, periodicals, internet etc. both for bedrooms and event spaces
To maintain and develop a calendar of events, some new to the establishment, based on the hotel’s needs, objectives and budget.
Negotiate/close deals and handle complaints or objections at the outset and refer to management when required
To liaise closely with hotel departments e.g. C&B/Reception/Reservations regarding availability within all spaces in the hotel
Set up and carry out show rounds and appointments with potential clients and listen to their wishes and concerns for events when required
Assist in preparation of the marketing, advertising, and sales plans with central group revenue and sales managers
Employ sales skills to convert enquiries into confirmed business
To complete a post event cost analysis, and client feedback and review with General Manager and relevant operational team
To communicate effectively with Tour managers/promoters and potential customer/s to identify client needs and be aware of protocol and security if applicable.
To ensure all administrative back-up (including legal documentation) is completed per event / group stay when necessary
To be aware of hotel social networking mediums with regard to events and event promotion/correspondence.
To follow-up all leads passed to you by other hotel staff or group managers.
To be the central contact for events both prior to, leading up to, and during the event with role out of Standard operating procedures (SOP’s) when required for hotel team to book outside of office hours
To actively work towards increased bedroom occupancy in conjunction with events.
To develop and maintain a database for event activity.
To be familiar and develop knowledge of all in house reporting systems
To ensure compliance with all accounting control procedures.
To ensure the health, safety and welfare of yourself and others who may be affected by your behaviour.
To maintain a high standard of personal hygiene and grooming.
To Comply with all safety rules and procedures e.g. Health and Safety, Hygiene and Fire.
Any other duties reasonably requested by Management.
Job Type: Full-time
Pay: €29,000.00 per year
Schedule:
  • 8 hour shift
  • Monday to Friday
  • Weekend availability
Work Location: In person
