Personal Secretary(Female only)

Job Title: Personal Secretary
Job Summary: The Personal Secretary provides high-level administrative support to an executive, manager, or other senior personnel, ensuring smooth operation of daily activities and efficient handling of administrative tasks.
Key Responsibilities:
  • Calendar Management: Schedule and manage appointments, meetings, and events for the executive, including coordinating with other departments and external contacts.
  • Communication: Handle and prioritize incoming calls, emails, and correspondence; draft and proofread communications.
  • Document Management: Prepare, edit, and format reports, presentations, and other documents; maintain and organize physical and digital filing systems.
  • Travel Arrangements: Arrange travel logistics, including booking flights, accommodations, and transportation, and prepare itineraries.
  • Meeting Coordination: Organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Confidentiality: Handle sensitive information with discretion and ensure confidentiality in all interactions and communications.
  • Expense Management: Process expense reports, invoices, and other financial documents.
  • Research and Support: Conduct research and gather information as needed to assist in decision-making and project management.
  • Miscellaneous Tasks: Perform various administrative tasks and special projects as assigned to support the executive’s role.
Qualifications:
  • Proven experience as a personal secretary or in a similar administrative role.
  • Proficiency in MS Office Suite (Word, Excel, Power Point) and other office software.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Ability to maintain discretion and confidentiality.
  • High school diploma required; associate’s or bachelor’s degree preferred.
Working Conditions:
  • Full-time position with standard office hours; some flexibility may be required for overtime or occasional travel.
  • Office environment with standard office equipment.
