Job Summary: We are seeking a highly organized, professional, and dedicated Personal Assistant (PA) to provide comprehensive administrative and secretarial support to the Principal. The ideal candidate will have 5 to 7 years of relevant experience, preferably in a school environment, and possess excellent communication, coordination, and multitasking skills. Key Responsibilities:
Administrative Support:
Manage the Principal's calendar, appointments, and meetings.
Prepare correspondence, reports, and presentations as required by the Principal.
Handle sensitive information and maintain confidentiality.
Assist with the coordination of events, meetings, and school functions.
Communication Management:
Act as the primary point of contact between the Principal and staff, students, parents, and external stakeholders.
Screen phone calls, emails, and visitors to ensure efficient communication.
Draft and circulate notices, memos, and other important communications on behalf of the Principal.
Documentation and Record Keeping:
Maintain organized records, files, and documents related to the Principal’s office.
Prepare meeting agendas, take minutes, and ensure follow-ups on action points.
Assist with the preparation of reports for the school board, management, and other stakeholders.
Coordination and Scheduling:
Organize and manage travel arrangements for the Principal, including booking transport, accommodation, and preparing itineraries.
Assist in coordinating staff and department meetings, parent-teacher meetings, and other school-related activities.
Liaison Role:
Work closely with various departments, teachers, and administrative staff to ensure smooth operations within the school.
Act as a liaison between the Principal and external organizations, educational authorities, and other parties.
Skills and Qualifications:
Bachelor’s degree in any relevant field.
5-7 years of experience as a Personal Assistant or in a similar administrative role (preferably in a school setting).
Exceptional organizational and time management skills.
Strong written and verbal communication abilities.
Proficiency in MS Office (Word, Excel, Power Point, Outlook) and other relevant software.
Ability to work independently, prioritize tasks, and handle multiple responsibilities.
Professional demeanor with the ability to handle confidential information with discretion.
Preferred Attributes:
Experience working in a school or educational institution.
Familiarity with school operations, policies, and procedures.
Excellent interpersonal skills and ability to work with diverse stakeholders.
