Admin and Accounts Assistant

INTRODUCTION:
Child in Need Institute (CINI) is a national-level award-winning non-profit organization registered in 1974 in West Bengal with state offices in Assam, Odisha and Jharkhand. The organization has been implementing programs as well as is a key technical partner of various government departments to demonstrate models in improving the quality of lives of children, adolescents and women in need. CINI’s core model is based on the CINI method that promotes a rights-based convergence approach which has so far attracted the attention of policymakers and other different actors of the development sector, and which has proven to be an effective design to promote local-level solutions for improving care and protection of Children.
EDUCATION QUALIFICATION:
Graduate or Equivalent
ESSENTIAL SKILLS:
  • Proficiency in MS Office with expertise in Microsoft Word, Power Point and Excel
  • Detail oriented and comfortable working in a fast-paced office environment
  • Excellent interpersonal and analytical skills
  • Effective communication skills
JOB DESCRIPTION:
1. Procurement
- Responsible for centralized bulk procurements
- Organize venue for trainings
- Co-ordinate for food arrangements for employees attending trainings / workshops
- Coordinating for donor visits

- Procurement of assets such as office furniture, guest house furniture and fixtures, and supplies.
- Procurement of services such as vehicle, etc for regional / state / head office employees
- Create a database of vendors for such procurements and for stay arrangements and as much as possible get into contracts for long term requirements.

2. Logistics
- Managing travel requirement for employees by having vendor for vehicle supply and contract
- Booking hotels for stay and travel tickets for employees.

3. Office Management
- Material distributions in field for all centres
- Review of stock inventory

4. Asset Management
- Maintain the asset register in specified format
- Update the register with new assets
- Work closely with Department Heads for disposal of old assets as per policy guidelines.
- Manage assets / materials in stock, issue them as per procedure.

5. IT Management
- Oversee organizations’ computer systems.
- Maintain networks and upgrade new hardware and software and perform troubleshooting.
- Data back up and network security.
- Creating user accounts and performing access control

6. HR Management
- Ensuring compliance with organization policies, regulations and guidelines
- Provide assistance in recruitment and various HR functions
- Overseeing day-to-day administrative and operational tasks
7. Accounts Support
- Bank related work
- Maintenance & updating of accounts related documents as per guidelines
- Other accounts related work as per need
EXPERIENCE:
- Minimum 2-3 years of experience in administrative roles or related fields.
- Experience in handling compliance, Vendor management, inventory management, accounts and HR functions is desirable.
COMPENSATION: INR 25000 Per Month
