The FM Admin is responsible for the day-to-day operational reception services for client’s offices in Attika. The FM Admin will be supporting the site facility team for daily office activities such as welcoming guests, office administration and documentation/filing, mail and delivery coordination and any other required service provided to the client. Further responsibilities include helping to establish and build a client relationship and assisting with
client reporting on a regular basis.

Person Specifications
  • University/College graduate.
  • Previous experience in a front of house, reception or customer facing role.
  • Good working knowledge of Microsoft Office packages and IT literate.
  • Previous experience in a facilities management environment.
  • An understanding of local health and safety legislation and energy management.

Key Responsibilities
OPERATIONS:
  • Visitor and Office Management: Welcome visitors, issue ID badges, manage calls and emails, handle mail correspondence, and present a professional first impression.
  • Administrative Support: Perform general office administration, inventory tasks, and additional services like organizing taxis and transfers.
  • Facilities Management Support: Provide administrative, financial, and FM-related support, book and cancel meeting rooms, and ensure compliance with client procedures and standards.
  • Hospitality and Induction: Implement hospitality plans, conduct FM inductions for newcomers, manage catering services, and communicate with parking providers.
  • Operational Support: Support daily courier mail, manage client apps, handle meeting room reservations, and participate in emergency procedures.
  • Onboarding and Offboarding: Prepare and follow up on induction and offboarding procedures, manage access cards, and ensure compliance with security standards.
  • Vendor and Service Coordination: Coordinate hospitality services, liaise with teams and suppliers, and ensure service utilization and engagement reporting.
  • Compliance and HSE: Adhere to compliance, HSE, and security procedures, monitor maintenance schedules, and participate in the HSE team.
  • Event and Community Management: Manage events, handle switchboard operations, update mailroom applications, and follow up on cleaning services.
  • Financial and Data Management: Collect and register invoices, conduct market research, manage car accident data, and track KPIs.
  • Emergency Preparedness: Prepare emergency documents, check and order supplies, and update the emergency plan.

Skills
COMMUNICATION
  • Good client relationship skills and able to work positively with stakeholders.
  • Good written and oral skills in English and Greek. Additional languages are useful.
  • Good spoken and written language skills in local language.
  • A team player and able to work positively with others across borders and remotely.

OTHER SKILLS / ABILITIES
  • Demonstrates strong liaison and provide escalation to landlord service provider and follow up.
  • Excellent accuracy and attention to detail.
  • Numerical skills and some financial acumen.
  • Team player.
  • Good organizational skills.
  • PC literacy is essential.
  • Competencies

Key experience required
  • 1-2 years of experience in a similar role, preferably in a corporate environment
  • Excellent command in English both verbal and written
