Salary Range:
Salary range for the position is $62,239 to $89,469. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.
About the job:
In accordance with the established vision and values of the organization and reporting to the Program Leader, Employee Health & Wellness, Duty to Accommodate (DTA) Coordinator oversees the implementation, delivery, monitoring, and evaluation of the Interior Health (IH) DTA job search function/ process. The Coordinator manages and participates in the DTA job search process and provides procedural and technical guidance to Employee Relations Professionals to support IH in meeting its DTA obligations as specified within Collective Agreements, Human Rights law, WSBC regulation, and IH policy.
The Coordinator creates, implements, and maintains various tracking and reporting systems and provides regular monitoring and analysis of DTA job search related functions and placement metrics and reports; provides related research and support to the HR and Employee Health & Wellness Teams; and establishes and maintains collegial and collaborative relationships with Employee Relations, managers, employees, and union partners (e.g., DTA and Enhanced Disability Management Program Representatives, Local Stewards, and Labour Relations Officers).
Typical duties and responsibilities:
- Researches leading practices in DTA, develops, documents, implements, and updates the DTA job search process (including transitional duties and LTD Availability of Comparable Positions) as directed. Prepares related proposals and briefing documents.
- Coordinates and guides the day-to-day operational delivery of the DTA job search, vacancy/position matching, and placement process for IH employees requiring (and approved for) employment accommodation based on functional medical restrictions and limitations provided by the Employee Health & Wellness Team. Provides process and technical guidance and support to Employee Relations Professionals throughout IH in support of the DTA job search function. Identifies any trends and issues that may adversely impact IH’s ability to meet its DTA employment and transitional duties obligations.
- Ensures that timely and high quality DTA job search related information, reporting, and statistics are available for decision-making. Conducts issue analysis, ensuring operational linkages with Employee Relations.
- In consultation and collaboration with Employee Relations, EHW Advisors and Labour Relations, works with operational Managers to create, update, and maintain a centralized inventory of ‘Transitional’ duties (e.g., project positions and bundled tasks) for consideration and assigning of transitional duties to staff with a confirmed DTA.
- To support cost-effective LTD claims management, coordinates, carries out, and provides process and technical guidance to Employee Relations Professionals in regular reviews of vacancies and identifying and determining available comparable positions for placement of employees applying for LTD or already on LTD claims. Ensures adherence to LTD language for available comparable positions as outlined in the Health Sciences and Support Community Subsector, Health Services and Support Facilities Sub Sector, and Heath Sciences Professional Collective Agreements.
- Identifies potential “frustration of employment” contract situations for files where DTA job search has been exhausted and prepares detailed supporting documentation for file review and action by Employee Relations.
- As required and in collaboration with the Employee Health & Wellness team, coordinates, facilitates, and/or supports the delivery of Manager education sessions regarding relevant DTA and transitional duties (e.g., program updates and legislative or collective agreement amendments).
- Performs DTA job search-related activities to meet workload/capacity demands including (but not limited to):
o acting as the first point of contact and conduit between Employee Relations, Manager, and unions for employees requiring DTA;
o keeping abreast of job vacancies using existing technology/programs and data to enable identification of possible placements;
o liaising with Employee Relations and Managers to determine possible skill set match of DTA employees and essential skills and qualifications of positions (e.g., vacancy);
o partnering with the Employee Relations team to ensure a functional fit as per objective medical documentation;
o preparing and distributing correspondence of a confidential nature (e.g., DTA Agreements);
o updating the vacancy tracking system and other related tools for tracking and reporting of relevant HR metrics such as activity updates and quarterly reports;
o booking meetings and coordinating meeting logistics.
- Assists in the development and updating of the DTA section of the Employee Relations information repository (currently ‘Team Site’).
- Undertakes Employee Health & Wellness related projects as assigned.
- In alignment with IH’s Occupational Health & Safety Program, employees shall adhere to all Occupational Health and Safety policies and procedures at all times and attend all required training. Employees are responsible to report any identified hazards, unsafe conditions or incidents to the manager or supervisor immediately.
