This position has primary responsibility for assisting the Director of Operations with various tasks to ensure the efficient operation of the campus and assisting with administrative duties, event planning and reporting. The ideal candidate will be instrumental in the organization and setup of events such as graduations, open houses, career fairs, orientations and social events.
Major Accountabilities/Responsibilities (Including but not limited to the following):
Writing letters and emails on behalf of other team members as requested
Carrying out administrative duties such as filing, typing, copying, faxing, scanning, etc.
Maintaining computer and manual filling systems
Maintain databases and spreadsheets, ensuring data accuracy.
Assist in organizing and setting up events, including graduations, open houses, career fairs, orientations and social events.
Manage the intake and tracking of deliveries and supplies.
Pick up supplies from wholesalers as required.
Assist in planning and executing special projects as assigned by the Director of Operations.
Carry out tasks, including off-campus assignments, as required on behalf of the Director of Operations.
Maintain and track inventory, ensuring accurate records and timely restocking.
Assist with schedule management, including setting appointments and coordinating meetings.
Support the preparation and compilation of annual reports and other documentation
Education and Experience
A Diploma or certificate in office administration or a related field is preferred.
A valid driver's license and a reliable vehicle are mandatory.
Proven experience in administration
Excellent organizational and multitasking abilities.
Previous event planning experience is preferred.
Skills and Competencies
Strong attention to detail and problem-solving skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Effective communication skills, both written and verbal.
Ability to work independently and as part of a team.
Flexibility to assist with various tasks and adapt to changing priorities.
Ability to build strong relationships internally.
Work efficiently and with integrity under pressure.
