The Village Events & Animation department of the Community Engagement and Cultural Services (CECS) division has an opportunity for qualified individuals to apply for the position of Administrative Assistant. Reporting to the Manager, Village Events & Animation, this position offers 72 hours bi-weekly, starting October 21, 2024.
The Administrative Assistant’s role is to provide administrative support to the Manager of Village Events & Animation (VE&A) and supplementary support for the Supervisor, VE&A and staff as needed. Responsibilities include but are not limited to; assisting with the coordination and production of special projects and/or events, meeting support with meeting scheduling, minutes, agendas, and related administration; other meeting preparation and recording; organization of departmental Outlook calendars; Agresso financial activities and budget reporting; collaborating with the Manager to administer the process for issuing and assessing requests for proposals, quotes and expressions of interest. This role will also deliver prompt and courteous assistance by providing routine information on VE&A operations to members of the public, staff, and interest groups.
Qualified candidates will possess a grade 12 diploma and courses in Administration and/or Local Government Management supplemented by at least 3 years of experience in a similar administratively focused position with an element of customer service. Qualified candidates also possess strong proficiency with Microsoft Office Suite; experience with a variety of office equipment; knowledge and experience with formal filing and records management systems. Previous experience in event planning and knowledge of Municipal policies, procedures, departments, and the resort community are considered an asset.
The successful candidate demonstrates excellent verbal and written communication skills, is a professional and helpful individual with a high degree of tact, diplomacy, and discretion with the ability to maintain confidentiality. Also, has the proven abilities to manage urgent requests, multi-task amid frequent interruptions, and prioritize work. The successful candidate also demonstrates commitment to promoting a diverse and inclusive workplace within their team and will create and maintain effective working relationships with others while contributing to a positive environment. The starting wage for this position is $34.87 per hour.
As a requirement of the position, the successful applicant must hold a valid BC class 5 driver’s license and provide a satisfactory driver’s abstract and a satisfactory Police Information Check with vulnerable sector before starting employment.
