Primary objective

Provide cost effective and timely purchasing and stock management services to all sections of the Department in the Southern Region to ensure

sufficient stock is available for dispatch to the various Police stations across the Region.

Key duties and responsibilities

1. Working independently and with minimal direct supervisory oversight.

2. Undertake the purchasing and re-ordering of supplies and stock items on Corporate Credit Card or account and be responsible for organising

the delivery, receipt and storage of requested supplies and store stock items.

3. Maintain good working relationships and liaise directly with managers, staff, suppliers, service providers and internal and external stakeholders

to ensure efficient management and preparation of stock supplies; proactively follow-up actions to meet deadlines and provide basic training

to managers and staff to improve their understanding of government accounting systems and purchase order and procurement processes.

4. perform weekly rolling stock takes and inspect incoming stock. Ensure stock lines are readily available to operational units, minimise

warehouse overcrowding, and monitor receipted goods and new products being accepted into stock for compliance to specifications.

Independently rectify defective stock, help resolve queries or escalate issues as required.

5. Maintain members’ uniform records to ensure uniform entitlements are not exceeded, undertake uniform fittings for new recruits / regional

staff, and organise uniforms and equipment by either independently placing orders with suppliers or liaising with stores staff in Darwin.

6. Process Resignation / Retirement Exit Checklists including advising Payroll and the relevant OIC / manager of exiting staff where uniform

and accountable items have not been returned.

7. Create and acquit purchase orders, pay accounts with a corporate credit card process invoices in a timely and accurate manner.

8. Provide support to the Fleet Manger/Fleet operations during absences. Run weekly costing reports off the Inventory control system for use

by Finance and provide accurate and timely information on stores transactions to allow financial journaling of funds.

9. Ensure the stores section is kept neat, clean and tidy.

Selection criteria

Essential

1. A “can do” attitude, demonstrated drive and self-motivation and demonstrated ability to work independently in a front line customer service

position.

2. Demonstrated physical capacity to efficiently perform manual stock storage / warehousing tasks and ability to safely undertake duties and

oversee the safety of others in the Section.

3. Previous experience in a similar role involving purchasing of goods and services, warehousing and dispatch and Credit Card processing, invoice

management and accounts receivable / payable processes.

4. Good written and verbal communication skills, good computer literacy including working knowledge and experience in computer information

systems and applications, government accounting systems and data base software packages (such as Enterprise Resource Planning Solution),

file transfer software packages and Just in Time inventory systems, and the ability to assist others in the use of these applications.

5. Proven ability to develop and maintain effective relationships with key stakeholders, ensuring high levels of customer service, and ability to

engage effectively with people from diverse backgrounds and tactfully handle customer interactions.

6. Current NT Drivers Licence and Forklift Licence or the ability and willingness to quickly obtain these, and good organisational and time

management skills with the ability to handle high volumes of work, cope with multiple tasks and reliably follow up assigned tasks.

7. Sound customer service skills, ability to apply initiative and learn new processes and concepts quickly, a demonstrated commitment to the

delivery of a high quality of client service, and the ability to identify and manage problems, including knowing when to escalate issues.

Desirable

1. Demonstrated understanding of financial and procurement legislation including a good understanding of cost centre management principles

and applications.
