Primary objective
Coordinate hosted and attended events for the Administrator of the Northern Territory. Ensuring the organisation of all activities at
Government House or external venues are of the highest standards.
Context statement
Government House staff are accountable to the Official Secretary to support the Administrator of the Northern Territory to perform their
statutory, ceremonial and community duties. Reporting to the Manager, Program and Communications this position is accountable for the
delivery of community events. The role assists with optimising the Administrator’s ability to engage with the community through internal
and external events, travel programs and digital mediums.
Key duties and responsibilities
1. Organise all aspects of community and ceremonial events, including hospitality, hosted or attended by the Administrator, including
performing Master of Ceremony duties and event management.
2. Process requests for events, prepare guest lists, formal invitations, venue layout, seating plans, menus, programs and all other
administrative and hospitality tasks as directed. Prepare movement requisitions for travel, coordinate bookings and detailed travel
itineraries.
3. Liaise with stakeholders regarding event delivery and communicate with the Manager Program and Communications and Manager
Household Operations to determine specific requirements for events.
4. Provide accurate and comprehensive event briefs and other promotional material as required. Maintain accurate records associated
with hospitality, and provide the Manager Household Operations and Manager Program and Communications with associated costs
for each event and or travel programs.
5. Provide the Manager Program and Communications with draft text, including photographs, for use on social media to promote events
attended or hosted by the Administrator.
6. Support and accompany the Administrator and spouse at hosted and attended events, including travel.
Selection criteria
Essential
1. Proven experience in event management with high level organisational skills with a demonstrated ability to work on multiple projects
to achieve results and meet deadlines within tight time constraints whilst maintaining attention to detail.
2. Demonstrated experience with Microsoft Office, Adobe and other creative applications to produce a high standard of documentation.
3. Interpersonal and written communication skills of a high order with the ability to communicate effectively, and courteously with tact
and with diverse audiences, including with high level dignitaries, and the ability to communicate in a range of written formats for
various audiences, including for social media channels.
4. Ability to respond in a positive, dynamic and flexible manner to change, including strong problem solving skills.
5. Demonstrated ability to work within a team environment and interact with people from diverse cultures.
6. High standard of personal grooming and presentation and personal qualities of reliability, integrity and confidentiality
7. Ability to frequently work outside normal business hours, travel and undertake the physical components of the role.
Desirable
1. Knowledge and appreciation of protocols and the role of the Administrator of the Northern Territory.
2. Ability and willingness to use technology, and social media digital communications.
3. Current NT Drivers Licence
