The Opportunity


The Department of Parliamentary Services (DPS) is recruiting for a Parliamentary Service Level 6 Executive Officer within Digital Recording Services Branch.

The Department of Parliamentary Services (DPS) supports the work of the Australian Parliament and Australian Parliament House and is responsible for a wide range of services and facilities. DPS has over 1,000 employees, working across a diverse range of areas which includes corporate services, security and building maintenance, reporting and broadcasting, library services, catering, visitor and art services and ICT services.

The Information Services Division (ISD) provides information and communications technology, Hansard and broadcasting services to the Parliament. ICT services are provided to Parliament House, Electorate Offices across Australia, and Commonwealth Parliament Offices.

The Executive Officer role provides leadership in coordinating the administrative activities and requirements of the Digital Recording Services (DRS) Branch. The role provides comprehensive administrative support to the Assistant Secretary and Branch, to facilitate the delivery of operations and support the achievement of departmental objectives.

  • A representative of the Office of the Assistant Secretary, you will have exceptional written and verbal communication skills and a proven track record building and maintaining strong working relationships and rapport with internal and external stakeholders.
  • Able to leverage your well-developed understanding of the Branch and its place/role within the Department, strong attention-to-detail and ability to manage competing deadlines.
  • Able to work collaboratively with colleagues across the Parliamentary Departments and support a positive team culture.


Job Specific Requirements:

  • The successful application will have experience working within Australian Government agencies or with state and territory governments.
  • The successful applicant will be required to obtain and maintain a Negative Vetting 1 (Confidential/Highly Protected/Secret) security clearance.

Duty Statement

Immediate supervisor: Assistant Secretary Digital Recording Services

Under limited/general direction undertake duties in accordance with the agreed standards for the Parliamentary Service Level 6 classification. The duties will include, but are not limited to, the following:

1. Prepare, contribute to and quality assure a range of written materials.

2. Ensure that directors and their teams are on time and accurate in their responses.

3. Manage the administrative requirements of the AS DRS efficiently, effectively and discreetly.

4. Balance competing priorities to effectively manage and prioritise workload to deliver agreed outcomes.

5. Maintain knowledge of the work program across the branch and at a high level, the division.

6. Research, analyse and synthesise information to deliver advice on complex/sensitive issues.

7. Communicate with influence to build and maintain key stakeholder relationships.

8. Provide the secretariat function for multiple governance forums (meeting/agendas/minutes/actions).

9. Provide scribing and coordination support for branch recruitment activities.

  • Demonstrated ability to effectively manage interpersonal relationships with respect.

  • Demonstrated ability to collate information and provide timely responses, of a very high quality standard.

  • Demonstrated planning, analytics and problem-solving skills, including the ability to assess risks.

  • Demonstrated ability to research/draft high profile documents including Estimates Briefs and QONs.

  • Proven experience supporting branch recruitment processes including (but not limited to):

o Providing scribing for candidate interviews,
o Completing and documenting referee reports, and
o Developing selection reports in line with departmental processes and guidelines.

  • Proven experience providing secretariat support across multiple governance forums.

  • Eligible Qualifications and/or other Requirements:

o Experience working within Australian Government agencies or with state and territory governments
o Negative Vetting 1 (NV1) security clearance

Salary


Currently, the salary range for this position is $94,259 - $105,941 per annum.

Conditions of Employment


Employment opportunities at Department of Parliamentary Services are subject to a range of conditions prescribed in the Parliamentary Service Act 1999 which include:

  • Australian citizenship – to be eligible for employment with DPS, applicants must be an Australian Citizen.


  • Security clearance and character clearance – the preferred applicant will be required to obtain and maintain a security clearance at the level specified, as well as complete and be deemed suitable through a Nationally Coordinated Criminal History Check.


  • Health assessment – a pre-employment health assessment will be required where there are physical or medical requirements for the role.
