Primary objective
Provide executive level administrative support and service to the Executive Director and other executives in the division as
required including administrative coordination and Ministerial support.
Key duties and responsibilities
1. Provide high level administrative, secretarial and procurement services to support the Executive and broader division as
required, including coordinating arrangements for travel, use of corporate vehicles and facilities as required.
2. Coordinate, record, track and oversee the timely movement and processing of correspondence through the Executive’s
office including initiating follow up action to meet agency and divisional deadlines.
3. Anticipating needs, coordinating, and providing the Executive with relevant papers/ briefings prior to meetings,
monitoring emails and preparing correspondence of a routine nature for the Executive’s signature.
4. Provide secretariat support in relation to meetings and conferences including agenda and minute preparation, meeting
support and venue arrangements as required.
5. Investigate and follow up on a range of matters with Directors across the Division and Department on behalf of the
Executive and undertake assigned research tasks.
6. Work as integral part of the Executive Services team to support the delivery of timely and quality divisional priorities.
7. Generic office coordination, including ordering and maintaining stationery and consumables.
Selection criteria
Essential
1. Demonstrated experience in providing high level administrative and executive support, including calendar and diary
management, meeting organisation, minute taking, credit card management and travel bookings.
2. Well-developed oral and written communication skills to interact effectively with a range of executives and staff at all
levels in a friendly, courteous, and professional manner.
3. Demonstrated ability to undertake a range of administrative, secretariat and secretarial duties and to competently use
associated computer applications including word processing, databases, and email.
4. High standards of client focus, with the ability to use initiative and solve problems.
5. Well-developed ability to maintain confidentiality and use sound judgement, tact, and discretion in dealing with
colleagues and clients in a commercial environment.
6. Well-developed organisational and coordination skills with the ability to set priorities, work under pressure and meet
deadlines.
7. Ability to work without direct supervision, and to contribute as part of a wider team.
Desirable
1. Experience in an executive office environment.
2. Experience with the HP Content Manager records management system and Travel Request Information Processing
System.
3. Current NT Drivers licence or ability to obtain.
