Primary objective
Provide a full-time presence at the Department’s reception for all enquiries, deliver excellent customer service regarding
land, building and planning enquiries. Provide administration and business support to the Katherine and Big Rivers Regional
office, Regional Director and the Katherine Division of the Development Consent Authority as required.
Key duties and responsibilities
1. Respond to general enquiries and be the first point of contact for clients for the Katherine Lands and Planning office.
2. Provide a broad range of administrative, secretarial and reception services to the Regional Director Northern Region and
staff of the Big Rivers Regional Office.
3. Maintain and coordinate a range of corporate functions for the office, including records management, financial services
and information technology and communications.
4. Arrange travel and accommodation bookings.
5. Coordinate meetings, venues and associated documents and attend delegated meetings for the purpose of recording
accurate minutes.
6. Maintain adequate supplies of office consumables and sale products and monitor maintenance requirements of office
equipment.
7. Provide pre and post meeting correspondence and secretarial support to the Katherine division of the Development
Consent Authority, and contribute to other project work as required.
Selection criteria
Essential
1. Demonstrated competence in various computer software packages including Microsoft Office Suite and other office
automation software.
2. Experience in secretarial and administrative processes which may include procurement, travel, credit card and records
management.
3. Experience in arranging and preparing for meetings, recording accurate meeting minutes, and coordinating events.
4. Good level of verbal and written communication skills; and the ability to maintain confidentiality, diplomacy, and tact in
dealing with a wide range of clients.
5. Proven ability to effectively manage and prioritise workloads, and work under pressure in order to meet tight deadlines.
Desirable
1. Working knowledge of relevant legislation, including Financial Management Act and Regulations, Procurement Act and
Regulations and Public Sector Employment and Management Act .
2. Experience with Government financial and record management processes and systems, or other, similar systems.
