Alarm, Fire & Security, LLC is a local independently owned and operated full-service Fire Sprinkler and Fire Alarm Company. We are members of AWWA (American Water Works Association), NFPA (National Fire Protection Association, AFSA (American Fire Sprinkler Association), DHEC (South Carolina Department of Health and Environmental Control) & Hilton Head Island-Bluffton Chamber of Commerce. We are currently looking to hire a Service and Inspections Scheduler/Coordinator to join our growing team. This position will start out providing administrative/clerical support by ensuring job scheduling is completed accurately and timely, and with the plan to grow into more complex tasks. Duties include gathering correct information to write up work orders, work with managers to schedule appointments and confirm with clients, distribute reports and maintain record of same and perform admin duties for the department. The ability to research from various sources and incorporate history into current scheduling requirements is a must. Position requires excellent oral and written communication skills. Will work with Service Trade software, a work order management program to schedule, dispatch and track work orders. This position requires thorough knowledge of Quickbooks, Microsoft Office Suite and Adobe Acrobat DC. Any other work order management, dispatch or time management experience will be helpful. What we're looking for: · Open to applicants with a high school diploma/GED. · At least 2 years of relevant experience in an office role. · Attention to detail to ensure scheduling jobs and invoicing are processed accurately and in a timely manner. · Must possess strong problem-solving abilities, be well organized and self-motivated. · Ability to effectively communicate, both written and verbally. · Courteous and Patient with strong customer service orientation. · The Scheduling Coordinator role is to manage the daily workload of work orders through planning and coordination of labor, parts and material, tools and equipment. We are looking for a talented and hardworking individual to become a key member of a cross functional team whose primary responsibility is to foster positive experiences for our existing customer base via prompt, efficient and courteous handling of all service calls and repair requests. Duties and Responsibilities · Ensure timely and efficient scheduling of technician routes. · Create Work Orders for technicians based on phone calls from clients, internal and external emails and sales cases. · Review and close Work Orders in accordance with internal expectations and guidelines. · Field phone calls and emails in an efficient, professional and courteous manner; adhering to internal policies and procedures. · Review invoices for proper cost and labor allocations. · Develop, track and report departmental metrics. · Serve on cross-departmental teams and committees as assigned. · Perform special projects and other duties as assigned. · Ensure technician reports are completed and submitted promptly. Provide follow-up with technicians as needed. · Coordinate equipment needs with the Warehouse Manager based on technician truck inventory. Preferred Skills · Self-motivated with ability to multi-task. · Detail oriented. · High sense of organizational & communication skills. · Proficient PC skills & MS Office applications. · Quick Books experience a plus. · Troubleshooting skills. · Must have good interpersonal skills and be able to work in a team environment as well as work independently. · Requires the ability to display knowledge of basic practices of reviewing official documents for completeness and accuracy. · Requires the ability to maintain accurate records and reports. · Requires the ability to understand and follow oral and written directions.
