Job Title: Scheduling Coordinator Reports to: Director of Clinic Support

Role Summary: The Scheduling Coordinator is responsible for introducing new patients and their families to Acorn, going over the appointment process and what is to be expected, collecting patient information, and working closely with Clinic Coordinators and other office staff to ensure patients are scheduling efficiently.

Duties/Responsibilities:
Answers and place calls, route calls, provide information and take messages in accordance with Acorn procedures.
Schedules and adjusts patient appointments to maximize patient care
Verifying OHP insurance and collecting private insurance information
Monitors the schedule regularly, adjusts the schedule as necessary, and reschedules patients as needed.
Maintain and evaluate each offices template and ensure it is adhered to
Utilizing dental and insurance software
Establishes and maintains patient files and records with up to date information (i.e. address, phone number, insurance information, etc)
Confirms the preparation accuracy of appointments by verifying scheduled interpreters and confirming GA appointments.
Janitorial duties
Required Skills/Abilities:
Skilled in use of standard office equipment including telephones, copies, fax, and computer software
Ability to maintain composure and professionalism when exposed to stressful situations
Strong ability to maintain professionalism on the phone while simultaneously collecting and entering data, problem solving and maintaining confidentiality.
Ability to prioritize, organize, and complete tasks in a timely and independent manner.
Education and Experience:
High School Diploma or equivalent
Strict compliance with HIPAA
Physical Requirements:
Repetitive use of hands to operate a computer, telephone and keyboard
Ability to read a interpret information on computer screens
Adequate vision to ensure correct data entry and monitoring of multiple screens
Ability to hear and understand conversations through headset, phone communications and virtual meetings
Clear and effective communication skills
Ability to work efficiently with moderate noise levels
Ability to stand or sit for long periods of time.
Ability to lift 15lbs.
