Front Desk Operations: Greet and assist study participants and guests upon arrival. Ensure they feel welcomed and provide appropriate guidance.
Phone and Email Management: Answer, screen, and direct incoming calls. Respond to general inquiries via phone and email, forwarding inquiries to the relevant team members as appropriate. Correspond with new and existing patients via text message using our secure messaging software.
Appointment Scheduling: Coordinate patient appointments, including verifying availability, sending appointment reminders, and rescheduling as necessary.
Documentation & Record Keeping: Maintain accurate logs of visitors, calls, and appointments. Assist with the completion of required demographic documentation for study participants, ensuring compliance with privacy regulations (e.g., HIPAA).
Patient/Participant Coordination: Provide information to patients and study participants regarding the clinical research process. Ensure that participants review or complete necessary forms and documents prior to visits.
Compliance & Safety: Ensure that the reception area complies with health and safety standards. Maintain a clean and professional environment for visitors and staff.
Data Entry & Administrative Support: Assist with data entry tasks as needed, including patient demographic information, appointment records, and study documentation.
Coordination with Clinical Staff: Liaise with clinical research coordinators, investigators, and other staff to relay participant information and ensure timely scheduling of visits and procedures.
Inventory Management: Assist with maintaining office supplies, including ordering and restocking materials as needed.
Confidentiality & Privacy: Handle all patient and study participant information in accordance with confidentiality policies and regulatory guidelines.
Qualifications:
Education: High school diploma or equivalent required. Associate’s degree or relevant certifications (e.g., Medical Office Administration) preferred.
Experience: Previous experience in a front desk or receptionist role is preferred, ideally in a healthcare or clinical research setting. Experience working with electronic medical records (EMR) and scheduling software is a plus.
Skills:
Strong verbal and written communication skills.

Proficiency in Google Workspace (Docs, Sheets, Slides).

Physical Requirements: Ability to sit or stand for extended periods, and perform basic clerical duties. Ability to occasionally lift up to 30 lbs. Work Environment: This is a full-time position that requires regular on-site attendance at West Clinical Research in Morehead City, NC. Standard workday hours are 7:00 AM - 4:00 PM on Monday through Friday, though occasional flexibility may be needed based on study schedules.
