Program Assistant II

Overview:
Create Better Health is seeking a qualified individual to work 32 hours per week as the Program Assistant for the state office on the Logan USU campus. The program assistant will report directly to the Create Better Health Assistant Director/ Program Manager and will be responsible for supporting the state office to stay organized, efficient, and effective in reaching the organization's mission.
Responsibilities:
Assist the program manager as needed including scheduling check ins with ambassadors, collecting signatures, preparing documents, setting up meetings, etc.

Budget support:
  • Pull spending reports from business services and enter into an Excel tracker
  • Assemble monthly budget & spending updates for counties
End of fiscal year support:
  • Assembling county proposal documents, and approved award letter documents.
  • Coordinate protocol manual updates with state office
  • Archive previous fiscal year documents and set up digital organization for new year.
  • Inventory management
Meeting Coordination:
  • Set up meeting links and distribute to attendees
  • Prepare and distribute agendas
  • Take minutes for meetings
  • Follow up on items discussed in meetings
Work closely with HR and business services to process hiring, change in positions, and terminations
New Hire Support:
  • Coordinate with engagement coordinator to get onboarding started
  • Train new hire on technology (IPad, outlook email and calendar, Microsoft Teams) and ordering systems.
  • Assemble new hire kits and send out to county
  • Invite to meetings and add to listservs.
  • Keep directories up to date
Collect and compile information for statewide SNAP-Ed events through the state to distribute to admin, partners, and Extension calendar of events.
Ordering and shipping materials as requested
Receipt processing for state team in Business Services’ Service Now system.
Maintain an organized office:
  • Liaison to Facilities department for all building issue
  • Keep office organized and welcoming.
Staff engagement role:
  • Prepare electronic cards for program personnel (birthdays, births, condolences, etc.) for signatures from State Office staff members.
  • Prepare monthly list of personnel birthdays and celebrations for Program Manager to highlight at statewide meetings.
Answer main office telephone and greet occasional guests and direct them to the appropriate person for assistance.
Coordinate planning and hosting large events and conferences (i.e., Annual Conference, State Office Retreat, Holiday Party, etc.)
Qualifications:
Minimum Requirements:
  • Two years of experience or an associate degree/technical training is required
  • Proficient computer skills, especially in utilizing Microsoft Office – Teams, Excel, Power Point, Outlook, Word, etc.
  • Strong communication skills- Be able to effectively and positively communicate both verbally and in ability to create, compose, and edit written materials
  • Proficient with organizing and managing personal time, coordinating and sending reminders with state office schedules, keeping digital documents storing systems up to date, and keeping office space tidy and organized.
  • Experience with using various AI technologies to improve efficiency and quality.
  • Experience as a staff assistant or similar position supporting a team.
Preferred Qualifications:
  • Familiarity with USU Extension and SNAP-Ed.
  • Skilled in designing documents and handouts using Canva
  • Experience with coding
Knowledge, Skills and Abilities:
  • Ability to coordinate and organize meetings and/or special events.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to take initiative and work without close supervision.
  • Highly motivated and proactive in supporting team members
  • Continuous growth mindset with a willingness and ability to routinely learn new skills and systems for the improvement of the program.

Advertised Salary: Commensurate with experience, plus excellent benefits ADA:
