Job Summary We are seeking a dedicated Personal Assistant to provide administrative support and assistance to our team. The ideal candidate will be highly organized, detail-oriented, and capable of managing various tasks efficiently. Key Responsibilities: 1. Schedule Management: • Maintain and manage calendars, appointments, and meetings. • Coordinate with internal and external stakeholders to set up appointments and ensure all scheduling conflicts are resolved. • Prepare agendas and meeting notes, and follow up on action items. 2. Communication Management: • Handle phone calls, emails, and correspondence on behalf of the principal. • Screen and prioritize messages, responding when appropriate. • Draft, edit, and proofread documents and emails as needed. 3. Travel Arrangements: • Organize domestic and international travel arrangements, including flights, accommodations, and ground transportation. • Prepare detailed travel itineraries and manage travel adjustments as needed. • Ensure all travel-related documents (e.g., visas, passports) are up-to-date. 4. Administrative Support: • Handle various administrative tasks, such as filing, data entry, and record-keeping. • Process and manage expenses, invoices, and reimbursements. • Order office supplies or handle personal errands as needed. 5. Project and Event Coordination: • Assist in organizing events, meetings, or conferences. • Support with project management, tracking deadlines, and ensuring tasks are completed. • Liaise with vendors and service providers for event coordination and follow-up. 6. Personal Errands and Tasks: • Handle personal errands, such as shopping, managing household needs, and running other ad hoc errands. • Assist with any personal requirements, such as making reservations, coordinating family needs, etc. Requirements:
Proven experience as a Personal Assistant or in a similar administrative role. • Excellent time-management skills, with the ability to prioritize tasks effectively. • Strong organizational abilities and attention to detail. • Proficient in MS Office Suite (Word, Excel, Outlook) and/or Google Workspace. • Excellent written and verbal communication skills. • Discretion and confidentiality. • Ability to adapt to changing priorities and take initiative.
Preferred Qualifications: - Proven experience as a Personal Assistant or similar role - Proficient in calendar management and scheduling - Strong organizational skills with the ability to prioritize tasks effectively - Excellent communication skills and phone etiquette - Ability to type accurately and efficiently - Familiarity with project coordination and multitasking - Knowledge of proofreading techniques is a plus Job Type: Part-time Pay: $19.50 - $22.50 per hour Expected hours: 40 per week Benefits:
