We are seeking a compassionate, highly organized Patient Care Coordinator to join our team at Achieve Therapy. This pivotal role involves providing outstanding patient service, ensuring the smooth operation of daily clinic activities, and assisting with administrative duties. As the first point of contact, the Patient Care Coordinator will greet patients, manage scheduling, verify insurance information, handle laundry duties, and occasionally cover shifts at other clinic locations during staff vacations or sick leave.
Responsibilities
Greet patients with a friendly and professional demeanor upon arrival.
Answer phone calls, respond to patient inquiries about services, appointments, insurance, and billing, and direct calls to the appropriate staff when necessary.
Schedule patient appointments based on therapist availability, ensuring an efficient flow of patients throughout the day.
Send appointment reminders via phone, text, or email to reduce no-shows.
Reschedule appointments as needed and accommodate urgent requests or cancellations.
Verify patient insurance eligibility and coverage before appointments.
Collect and process insurance information for billing purposes, ensuring accuracy.
Help submit insurance claims and follow up on outstanding claims or issues.
Assist with maintaining cleanliness and organization within the clinic, including laundry duties (e.g., washing towels, sheets, and other clinic linens).
Assist with patient intake forms, consent paperwork, and data entry into the clinic’s system.
Collect patient co-pays and process payments accurately.
Support other administrative functions, including filing, record-keeping, and office organization.
Work collaboratively with the clinical team to ensure seamless care delivery for patients.
Maintain patient confidentiality and adhere to HIPAA regulations.
Assist with tracking patient progress and ensuring all necessary documentation is complete for therapy services.
Qualifications
Education & Experience:
High school diploma or equivalent required; associate’s degree in healthcare administration or a related field preferred.
Prior experience in a healthcare setting, medical office, or customer service role is a plus.
Skills & Abilities:
Strong communication and interpersonal skills, with the ability to engage effectively with patients and team members.
Excellent organizational skills, attention to detail, and the ability to multitask in a busy clinic environment.
Basic understanding of insurance verification, billing procedures, and patient care protocols.
Comfortable with performing laundry duties and assisting with light clinic maintenance.
Ability to travel to other clinic locations as required for vacation coverage
