Job Summary
The Occupancy Specialist plays a crucial role in managing the leasing process and ensuring high levels of customer satisfaction within our property management team. This position requires a proactive individual who can effectively communicate with potential tenants, maintain compliance with Fair Housing regulations, and support the overall occupancy goals of the property. The ideal candidate will possess strong administrative skills and a solid understanding of facilities management and property management practices.
FULL JOB DESCRIPTION
PRINCIPAL DUTIES & RESPONSIBILITIES
· Respond to inquiries from residents, applicants, guests, vendors, and employees, and escalate as appropriate.
· Collect and process rent payments in a timely manner and in compliance with internal and regulatory guidelines
· Coordinate and application, interviewing, and screening process for prospective resident. Maintain property waitlist.
· Evaluate applicant eligibility and calculate rents and utility allowances.
· Process move-ins and move-outs
· Complete annual and interim income certification related tasks.
· Perform tasks related to resident lease grievances.
· Maintain applicant and resident files in compliance with internal and regulatory guidelines.
· Prepare and distribute marketing and promotional materials.
· Advertise available apartments using a variety of media.
· Draft correspondence, make photocopies, scan and fax documents, and perform other clerical functions.
· Show apartments to prospective residents.
· Perform data entry into company databases capturing residents, property, and payment information.
· Other related tasks as assigned.
REQUIREMENTS
· Some post-secondary education preferred.
· At least 3 years of experience.
· TCS and/or COS professional designations required
· Knowledge of HUD regulations, forms, inspection criteria and processes.
· Knowledge of regulatory requirements including Section 8/Tax Credit program funding sources.
· Excellent communication skills, both oral and written.
· Excellent customer service skills.
· Strong administrative and organizational skills.
· Proficiency in Microsoft Word and Outlook, Excel, and Power Point. Periodic overtime or flexible hours may be required.
Qualifications
Strong understanding of Fair Housing regulations and compliance
Proven experience in property management and leasing
Proficiency in administrative tasks and office operations
Knowledge of LIHTC, Section 8, and landlord-tenant law
Excellent customer service and conflict management skills
Familiarity with Yardi, One Site, and Real Estate software
Ability to effectively communicate with diverse stakeholders
