Facilities Manager

Description:

CAMS, A Community Management (HOA) company is looking for a Facilities Manager required for a largescale community located in Raleigh, NC 27617. Position is full-time, 8:00 am to 5:00 pm, Monday through Friday, with emergency and on-call duties.

Pay rate is up to $70,000 annually depending on experience level and tenure in the field.
This position is an integral part of the community management team, who is responsible for ensuring the community is maintained in first-class condition. The Facilities Manager’s primary responsibility is to oversee the operation, repair and maintenance of association-owned properties (including, but not limited to the Amenity Center and common grounds), as well as individual home-site landscape maintenance, in accordance with the Associations Governing Documents and adopted policies, rules and regulations.
ESSENTIAL DUTIES
Vendor Management
  • Prepare bid specification and make recommendations for the award of contracts.
  • Ensures that contractors have and maintain on file with the Association current certificates of insurance and W-9 forms.
  • Directs and evaluates the work of contractors in maintaining the property including but not limited to landscape and grounds maintenance, HVAC, pool maintenance, etc.
Facilities and Maintenance Management
  • Inspects facility and properties routinely, but not less than weekly.
  • Cause to be maintained and repaired all site improvements, buildings and facilities including but not limited to, signage, paving, sidewalks, fences, gates, sports courts, lighting, plumbing, electrical, HVAC, fitness equipment and other community amenities and property.
  • Oversee operation, repair and maintenance of access control, fire and security systems.
  • Provide janitorial/support staffing for community events and facility rentals.
  • Oversee the setup of rooms based on information provided by office staff and the Lifestyle Director.
  • Establish and maintain preventative maintenance schedules.
  • Maintain property in condition to pass any required inspections. i.e. pools and spas.
  • Complete repair work orders in a timely manner using in-house staff or contractors, as appropriate.
  • Order equipment, parts and supplies. Maintain adequate stock of frequently-used items.
  • Maintain updated facility records including warranty information, furniture, fixture and equipment lists, building/landscaping plans, etc.
  • Respond to afterhours emergencies.
  • Operate clubhouse audio, video, lighting and IT systems.
Community Standards Compliance
  • Work with the Community Manager and other association staff members in maintaining the community standards.
  • Maintain awareness of the community “fit and finish” and work with management team to correct or upgrade of any conditions that are not consistent with the community standards. Be observant to detect maintenance needs throughout the community.
  • Be conversant with association rules and regulations and safety practices in order to assist with compliance.
Community Management
  • Provide statistical reports and analysis on utility usage, work orders processed and useful life estimates of association assets, etc. as required.
  • Provide weekly report documenting activities, issues, problems or concerns to the Community Manager.
  • Assist in annual budget preparation and monitor departmental performance against adopted budget.
  • Review and authorize departmental expenses.
  • Attend and assist in the conduct of all staff and Association meetings.
  • Attend seminars and classes as assigned.
Other
  • Perform other duties as assigned.
  • Maintain project lists.
Requirements: KNOWLEDGE, SKILLS AND ABILITIES
  • Must be self-motivated, Effectively verbal and written communications skills
  • Knowledge of pool equipment operation, maintenance and repair.
  • Knowledge of landscaping and irrigation systems.
  • Extensive knowledge of building and grounds maintenance.
  • Strong supervisory skills to manage the work of contract employees, as well as vendors.
  • Strong computer skills in Microsoft Office programs. Ability to learn and utilize management software programs.
  • Excellent time management, organizational and follow-up skills.
  • Ability to follow oral and written directions.
  • Ability to read as-built drawings and building blueprints.
  • Ability to communicate effectively with managers, coworkers, residents, guests and community leaders.
  • Ability to establish and maintain good working relationships with Board, committees, staff, residents, volunteers and contractors.
  • Ability to work a flexible work schedule.
  • Ability to manage competing priorities and assignments.
  • Ability to consistently achieve high work standards from self and contractors.
  • Ability to learn and use various computer programs.
PHYSICAL DEMANDS/WORK ENVIRONMENT
  • Work is conducted both indoors and outdoors. Employee must be able to work outdoors in various weather conditions, particularly high heat, and to walk long distances to perform physical inspections.
  • Employee must be able to repetitively lift and carry up to 75 lbs, climb ladders and to perform other physical labor and withstand inclement weather conditions.
MINIMUM QUALIFICATIONS
  • High School graduate.
  • At least three years’ experience in facility & grounds management and maintenance.
  • Computer skills with Windows based programs, particularly Microsoft Office programs.
  • Able to work evenings and weekends. Must possess and maintain a valid driver’s license.
PREFERRED QUALIFICATIONS
  • Experience working for a community association or country club in a similar position.
  • Must be able to consistently achieve high work standards
  • Flexibility and adaptability to rapid change
  • Certified Pool Operator’s Certificate
  • CPR/AED certified or willing to become certified
