  • Castle Vacation Rentals Hawaii - Coordinator
    The Vacation Rental Operations Coordinator plays a vital role in the seamless execution of day-to-day operations for our portfolio of vacation rental properties.
    Reporting to the CVRH Operations Manager, this position is responsible for ensuring high quality guest experience and supporting revenue optimization strategies. The coordinator assists in managing guest check-ins and check-outs, coordinating with cleaning and maintenance teams, addressing guest inquiries and issues, and implementing operational procedures. This role involves supporting revenue management efforts by collecting data on market trends and booking patterns to help inform pricing decisions.

    • Education/Experience Required: Associate or Bachelor's Preferred
    Essential Functions and Responsibilities:
    • Assist the CVRH Operations Manager in coordinating daily operations of vacation rental properties.
    • Facilitate check-ins, check-outs, and guest services, ensuring smooth processes and a positive guest experience.
    • Coordinate with cleaning and maintenance teams to ensure properties are well-maintained.
    • Address guest inquiries and issues promptly and professionally, ensuring high levels of customer satisfaction.
    • Maintain and update property management procedures to enhance operational efficiency.
    • Conduct regular inspections of properties and report findings to the Operations Manager.
    • Assist in quoting and inputting individual unit reservations made via phone, fax, email, internet, VR platforms etc. Into property management and reservation system. Collect deposit and final payment in accordance with company policies and procedures.
    • Provides communication, follow up, updates and scheduling of work.
    • Clerical duties including faxing, typing, filing, creating reports, and power point presentations.
    • Cross train with Castle Resorts & Hotels Operations Team Members.
    • Other operational duties required by department business needs.
    • Flexibility to travel Inter-Island.
    Revenue Management Support
    • Assist in monitoring and implementing revenue management strategies to optimize pricing and occupancy rates.
    • Monitor market trends, competitor rates, and booking patterns to recommend pricing adjustments.
    • Utilize revenue management tools and software to support demand forecasting and dynamic pricing strategies.
    • Review reports with Operations Manager on key performance indicators (KPIs) related to revenue, occupancy, and guest satisfaction.
    • Collaborate with marketing and sales teams to support promotional strategies aimed at maximizing revenue.
    • Perform other duties and/or projects as required or assigned by management.
    Qualifications:
    • Experience in vacation rental management, hospitality, or a related role.
    • Basic understanding of revenue management principles and tools.
    • Strong organizational and multitasking skills with attention to detail.
    • Ability to work flexible hours, including weekends and holidays.
    • Must be an initiative-taker with the ability to work unsupervised and manage multiple priorities.
    Experience
    • Two (2) years of VR experience and/or hotel hospitality service.
    • Familiarity with vacation rental management software.
