LOCATION The successful candidate should expect to be based at incred ABLE’s head office at 162 Portadown road, Richhill. Purpose of role The Administration and Finance team is the driving force behind incred ABLE, ensuring the seamless operation and governance of all our activities. We are dedicated to maintaining high standards of accuracy and integrity in everything we do. This role requires meticulous attention to detail and precision in task execution. The post holder will support the Finance manager in running an efficient Administration and Finance function by providing support on all activities including systems, reports and general administrative work. The post holder will also provide our CEO with administrative support. Role Specific duties - 1. Administrative Support
Provide reception support to meet and greet visitors to incred ABLE premises.
Assist in organising and coordinating administrative activities to ensure organisational effectiveness and efficiency.
Offer day-to-day administrative support for incred ABLE’s projects and services.
Provide comprehensive administrative support for meeting coordination, including scheduling, preparing agendas, and recording minutes as required.
Ensure that accurate participant and staff data is recorded in the database (people information management system), updating as necessary as new information in acquired.
Support the implementation and maintenance of incred ABLE’s CRM system.
Serve as the primary point of contact for incred ABLE services, managing communications with families, participants, partners, and the public as needed.
Oversee the monitoring and management of incred ABLE's general email inbox.
Assist with the promotional activity of incred ABLE, including responding to information requests from members of the public and assisting with the coordination of events.
Contribute to the hiring of new staff by:
o Notifying selected candidates of their successful application o Communicating the next steps in the onboarding process to new hires o Contributing to the induction of newly recruited staff - Provide orientation to the organisation, policies, and procedures 2. Executive Assistant Duties to the CEO
Maintain and manage the CEO's calendar, scheduling appointments, meetings, and events.
Handle phone calls, emails, and other communications on behalf of the CEO, screening and prioritising messages.
Serve as the primary point of contact between the CEO and internal/external stakeholders, ensuring effective communication and timely responses.
Arrange and coordinate meetings, including booking venues, preparing agendas, and distributing relevant documents.
Take minutes during meetings, ensuring accurate record-keeping and follow-up on action items.
Provide comprehensive administrative support to the CEO, including document preparation, filing, and record maintenance.
Assist in the preparation of reports, presentations, and correspondence.
Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
Uphold a high standard of professionalism in all interactions and tasks.
3. Procurement and Purchasing
Manage procurement processes, ensuring timely and cost-effective acquisition of goods and services.
Identify and evaluate suppliers, negotiate contracts, and maintain supplier relationships.
Process purchase orders, track deliveries, and ensure the timely receipt of goods and services.
Maintain accurate records of purchases, inventory, and costs.
Ensure compliance with procurement policies and procedures, and uphold best practices in purchasing.
4. Calendar Management
Manage the incred ABLE calendar for the hiring of incred ABLE venues to external organisations.
Oversee the incred ABLE calendar for scheduling cleaning staff at various incred ABLE venues.
General
Work in a manner that protects sensitive information - The post holder will often be privy to confidential information.
Ensure all duties and responsibilities are carried out in compliance with GDPR, Safeguarding and Health and Safety policies, quality, and statutory regulations.
Ensure all duties and responsibilities are carried out in a manner consistent with incred ABLE’s policies and procedures, enhancing the organisation’s reputation.
Participate in training opportunities which are appropriate for the role in which you are employed.

Assist in navigation of donation process.
Help to manage donations and donor subscriptions - provide information on incred ABLE's mission and impact.
