Events Coordinator

As an Event & Project Coordinator, you will be responsible for planning, organizing, and executing events and exhibitions from concept to completion. You will work closely with clients, vendors, and internal teams to ensure every detail is meticulously managed and events run smoothly.
Key Responsibilities:
Event Planning and Coordination:
  • Develop, plan, and execute events and exhibition stands.
  • Coordinate all aspects of event logistics, including venue selection, vendor management, and scheduling.
  • Create detailed event timelines and ensure adherence to schedules.
  • Manage event budgets and track expenses.
  • Knowledge on preparing clients quotation base on the requirements.
  • Making a report on each projects and directly to communicate it to the Managing director.
Client Engagement:
  • Serve as the primary point of contact for clients, ensuring clear and effective communication.
  • Understand client needs and objectives to deliver tailored event solutions.
  • Conduct regular meetings with clients to update them on event progress and address any concerns.
Vendor Management:
  • Identify and liaise with vendors and suppliers for event services.
  • Negotiate contracts and ensure quality service delivery.
  • Coordinate with vendors on event day to ensure smooth operations.
On-Site Management:
  • Oversee event setup, execution, and breakdown.
  • Ensure all event elements are in place and meet quality standards.
  • Address any issues or emergencies that arise during events.
Post-Event Analysis:
  • Conduct post-event evaluations to assess event success and identify areas for improvement.
  • Prepare and present post-event reports to clients and internal stakeholders.
Skills and Qualifications:
  • Proven experience in event planning and coordination, especially in organizing exhibitions and trade shows.
  • Strong knowledge of MS Office software, including Word, Excel, Power Point, and Outlook.
  • Excellent organizational and multitasking skills with attention to detail.
  • Strong communication and interpersonal skills to effectively interact with clients, vendors, and team members.
  • Ability to manage budgets and negotiate contracts.
  • Creative problem-solving skills and the ability to think on your feet.
  • Flexibility to work evenings, weekends, and travel as required for events.
  • Preferably speaking English & T A G A L O G
  • Preferably P I N O Y nationality.
Job Type: Full-time
Pay: From AED3,000.00 per month
