What this job involves
The role of Facilities Coordinator will assist Facilities Manager/ Assistant Facilities Manager to run daily operations in terms of soft services, helpdesks, EHS/ COVID related support, fixed assets management, vendor & contract management, procurement & FIN processing, space management, project/ MAC/ initiatives support, management reports, and adhoc assignments whenever needed.
Major Responsibilities
1. Repair and Maintenance-Responsible for planned preventative maintenance.
Coordinates with team and vendors to schedule routine inspections and repairs.
Monitors and tracks maintenance schedules to ensure compliance and completed in a timely manner.
Liaises with vendor and contractors to schedule and oversee repairs.
2. Administration
Provides administrative support to the team.
Manages tasks such as business card management and event support.
3. Office Operation
Oversees Environmental, Health, and Safety (EHS) requirements and sustainability initiatives.
Handles supplier selection, performance evaluation, and payment processes.
Manages utilities and monitors energy consumption to optimize efficiency.
Prepares and manages budgets, ensuring adherence to financial targets.
Tracks Key Performance Indicators (KPIs) to evaluate vendor performance.
Ensures accurate and timely processing of invoices and vendor payment.
Interested? An ideal candidate would need to have the following qualifications
Ideal Experience
Good at documentation, and MS software;
Over 2 years’ experience in managing facilities preferred;
Good command of spoken and written English and Chinese languages.
TOEIC score of 650 or above.
Proficient in computer skills and administration.
Agile and flexible in adapting to changing work requirements.
Willingness to travel twice a month to other RSOs or the Nanashan corporate office for meetings.
Experience working in facilities management is preferred.
Technical and repair knowledge is advantageous.
Familiarity with Environmental, Health, and Safety (EHS) standards and sustainability practices is preferable
