CONTRACT
Admin Assistant (Pooling)
Duties and responsibilities
I. Primary Responsibilities:
a. Asset Management
1. Generate the Receiving report for ADMIN sub-departments orders (items and or consumables) in the SAPsystem
2. For asset and non-consumable items, make sure to coordinate with the concern department foraccountability
3. update Masterlist of Asset codes for the additional Asset
4. Tag items before releasing to concern department
5. prepares accountability to assigned employee/department
6. Secure a scan copy of PO's before transmitting to Accounting Dept.
7. Update SAP Report Monitoring Leadtime
8. Prepare Job order request form and transmit to Maintenance
9. Follow up Maintenance for the update of JO with note fos disposal
10.Prepare Asset Disposal Form
11. Request and check for buyer's necessary requirements
12.Prepare a Deed of Sale/donation
13.Dept.head to review and approval of documents
14.Secure approval/signature from top mngt
15.Issuance of the document to the buyer
16.Secure exit pass
17. Keeping and Monitoring of keys of Offices, conferences, Mobile Cabinet and Dormitory
18. Make sure to log the borrowed keys in Key Monitoring
19. Make sure to monitor the borrow key to return by the borrower
20. Inventory of Asset (Furniture and Fixtures, Office Equipment, Computers and Laptop, Machineries and Equipment)
21. Inventory of PPEs
22.checking and verification of accountability records
23. receive the returned ltems listed on the Accountability (non-consumable Items and Laptop)
24.check and validate functionality and condition of returned items
25. Foritem lost and PPEs with not meet the consumed lifespan, make sure to highlight and note fordeduction of employees before sign by Admin Manager
26. Make sure to attach photocopy of Accountability before transmitting to HR Dept.
27.Make sure to update Monitoring of Emplovees Accountability
Job Type: Fixed term
Contract length: 4 months
Pay: Php16,000.00 - Php18,000.00 per month
