Position Overview: The Executive Secretary plays a crucial role in supporting top executive leaders within our organization. This position requires a highly organized, proactive, and professional individual with exceptional communication and administrative skills. The executive Secretary will manage a wide range of tasks, including executive scheduling, correspondence, and project coordination, ensuring the smooth operation of the executive office. Key Responsibilities: 1. Executive Support:
Provide high-level administrative support to the CEO and other senior leaders as required.
Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements.
Prepare and organize documents, reports, and presentations for meetings and events.
Handle confidential and sensitive information with discretion.
2. Communication Management:
Act as the primary point of contact for internal and external communications with the executive office.
Draft, proofread, and manage correspondence, including emails, letters, and reports.
Screen and prioritize incoming communications and requests, directing them to the appropriate party.
3. Meeting and Event Coordination:
Organize and coordinate executive meetings, including scheduling, agenda preparation, and minutes-taking.
Plan and execute high-profile events, including conferences, board meetings, and company functions.
Ensure all meeting logistics, including technology setup and catering, are managed efficiently.
4. Office Administration:
Oversee daily office operations, ensuring an organized and efficient executive workspace.
Manage and track office supplies, equipment, and maintenance requests.
Coordinate with other administrative staff to support overall office functions and team activities.
5. Project Support:
Assist in managing special projects and initiatives as directed by the executives.
Prepare project-related documents and reports, tracking progress and deadlines.
Coordinate with various departments to ensure project goals are met.
6. Travel Coordination:
Arrange complex travel itineraries, including flights, accommodations, and transportation.
Prepare travel expense reports and handle travel-related reimbursements.
7. Confidentiality and Compliance:
Maintain strict confidentiality regarding sensitive company information and executive matters.
Ensure compliance with company policies, procedures, and regulatory requirements.
Qualifications: 1. Education and Experience:
HND / Bachelor’s degree
Minimum of 5 years of experience in a high-level administrative or executive assistant role.
Experience supporting C-Level executives or senior management preferred.
2. Skills and Competencies:
Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively.
Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other relevant software.
Excellent written and verbal communication skills, with strong attention to detail.
High level of professionalism, integrity, and discretion in handling confidential information.
Strong problem-solving abilities and adaptability to changing priorities.

Working Conditions:
Work Hours: Full-time position, typically Monday to Friday, 9 AM to 5 PM, with occasional overtime as needed.

Travel: Local & International travel may be required.
