Job Overview: We are seeking a dedicated and organized Executive Assistant to support our executive leadership team. The ideal candidate will play a critical role in managing day-to-day executive operations, allowing the leadership to focus on strategic initiatives. You will act as the primary point of contact for executive schedules, communication, and project coordination while also ensuring confidentiality and discretion at all times. This role requires a highly adaptable, detail-oriented individual with exceptional organizational and multitasking abilities. Key Responsibilities:
Organize and coordinate executive calendars, scheduling meetings across time zones, prioritizing tasks, and rescheduling when necessary.
Serve as the main point of contact for internal and external communications on behalf of the executive team, managing email correspondence, phone calls, and inquiries.
Assist in coordinating and managing cross-functional projects, ensuring deadlines are met and progress is communicated to stakeholders.
Organize and book domestic and international travel including flights, hotels, and ground transportation. Ensure all travel documentation and itineraries are properly prepared.
Prepare reports, presentations, and meeting summaries, often working with sensitive and confidential information.
Organize events, team meetings, and executive functions, including preparing agendas and materials.
Track, submit, and reconcile executive expenses and manage any related reporting.
Support executives with day-to-day administrative tasks, ensuring smooth office operations.
Flexibly handle unforeseen projects and tasks as assigned by senior leadership.
Requirements:
Bachelor’s degree in Business Administration or a related field preferred.
2-4 years of experience in an administrative or executive assistant role, ideally in a tech or fast-paced environment.
Proficient in Microsoft Office Suite and Google Workspace.
Exceptional verbal and written communication skills.
Proven ability to prioritize tasks and meet deadlines.
Experience handling confidential information with discretion and integrity.
Strong interpersonal skills and the ability to work across departments.
