Role & responsibilities 1. Procurement Planning: - Develop and implement effective procurement strategies and procedures. - Identify the company’s material and service requirements in collaboration with various departments. - Forecast demand and ensure adequate stock levels are maintained. 2. Vendor Management: - Source, evaluates, and select suppliers based on price, quality, service, and delivery capability. - Build and maintain relationships with vendors, negotiate terms, and manage contracts. - Conduct vendor assessments, including performance reviews and audits. 3. Negotiation and Contracting: - Negotiate favorable terms, conditions, pricing, and delivery schedules with suppliers. - Prepare and review purchase orders, contracts, and agreements to ensure compliance with company policies. - Manage contract renewals, terminations, and disputes as required. 4. Inventory Management: - Monitor stock levels and ensure proper storage and handling of materials. - Coordinate with the warehouse team to manage inventory control, reorder points, and stock replenishment. - Conduct periodic audits of stock levels to identify discrepancies or improvements. 5. Cost Control and Budgeting: - Monitor procurement costs and ensure purchases align with the company’s budget and cost-saving objectives. - Identify opportunities for cost reduction and implement savings initiatives. 6. Quality Assurance: - Ensure all purchased goods and services meet the company’s quality standards and specifications. - Address any quality or delivery issues in collaboration with suppliers and internal stakeholders. 7. Compliance: - Ensure compliance with company policies, legal regulations, and industry standards related to procurement. - Maintain accurate procurement documentation, including purchase orders, invoices, contracts, and supplier evaluations. 8. Reporting: - Prepare regular reports on procurement activities, vendor performance, and cost-saving initiatives. - Analyze purchasing trends and prepare detailed reports for management. 9. Cross-Department Collaboration: - Work closely with finance, production, operations, and other departments to ensure smooth workflow and alignment of procurement activities with company goals. - Collaborate with logistics and shipping departments to ensure timely delivery and transportation of goods.
