Administrative Assistant, Intermediates Asia Pacific

Objectives of the Position You will:
Provide professional and administrative support to the Vice President, Intermediates Asia Pacific, ensuring smooth day-to-day office operation and interactions in accordance with company policy, procedures and guidelines
Job Responsibilities
Provide professional secretarial and administrative support to the Vice President, Intermediates Asia Pacific by managing his calendar, scheduling appointments, and coordinating meetings, ensuring optimal time management and prioritization
Assist with travel arrangements and logistics, including visa applications, flight bookings, accommodations, and expense reimbursements for the Vice President and his team
Coordinate business meetings, manage calendars, handle travel management and expense claims, including provide professional advice and take necessary/emergency actions on the above arrangements on behalf of the Vice President when appropriate
Coordinate and advise on travel and meeting arrangements for executives from other regions travelling to Asia
Organize and maintain the Vice President’s correspondence, records, and filing system
Ensure information security and handle confidential information, files, and materials appropriately
Exercise reliable personal judgment with high sensitivity in dealing with visitors and calls at all levels
Cascade Vice President’s messages/communication to relevant individuals and/or departments
Prepare workshops and conferences, including logistics arrangement, budgeting and coordination
Coordinate department internal related topics, such as social activities and contact lists updates
Requirements
Bachelor’s degree in business administration/management or a related discipline
Minimum 5 years of proven experience as a secretary/assistant to senior management, preferably with a multinational company background
Proficiency in Microsoft Office Applications
Proactive and self-motivated, with the ability to work independently and as part of a team
Excellent organizational and time management skills, with the ability to prioritize tasks effectively
