Reservations Specialist - On-Site Tamarindo Job Summary The Reservations Specialist manages incoming leads from various channels and converts them into confirmed reservations. This role ensures clear communication of booking details across all departments using our Property Management System (PMS). Key Responsibilities
Follow all reservations procedures.
Respond to leads via phone, email, Whats App, travel agents, and walk-ins within 1 hour; follow up until booking confirmation.
Address inquiries and follow-up emails from clients and travel agents.
Manage payment follow-ups: send reminders, record payments, and update balance reports in PMS (Escapia).
Send "compra click" links within 24 hours of client confirmation; ensure all rental contracts are signed and details are included in PMS.
Assist with owner and guest bookings; ensure all details are updated in PMS.
Maintain and update property listings in PMS, website, and OTAs, including new properties.
Conduct weekly competitor comparisons; provide rate and occupancy improvement suggestions.
Update rates and availability as requested; maintain Ical calendars.
Coordinate with concierge to manage bookings, cancellations, and no-shows per company policy.
Register services and guest information in Escapia; ensure communication with all operational teams.
Register guest information with relevant HOA companies.
Ensure guest satisfaction before, during, and after their stay, including handling messages via Whats App.
Inform management of important issues for resolution and refer property buyers to the preferred real estate agent.
Process credit card payments and pass information to accounting.
Respond to guest reviews on VRBO and Escapia weekly.
Requirements
Experience: 2+ years in reservations or customer service, ideally in hospitality.
Skills: Strong communication and organizational abilities.
Technical: Proficiency with PMS (Escapia) and online booking platforms.
Languages: Fluent in English and Spanish.
Availability: Willingness to work flexible hours, including weekends and holidays.
Deliverables
Daily: Update inquiry report and maintain the inbox.
Wednesday: Send rate strategy and competitor comparisons.
Saturday: Submit weekly reservations and outstanding balance reports.
Monthly: Provide comprehensive sales reports.
