Production Coordinator

Purpose:

Reporting to the Executive Producer, the Production Coordinator plays an integral role in the support to the Production department on production planning and logistics coordination, travel and accommodation bookings, and assistance with preparation of communication between internal departments and stakeholders on company production activities.
Responsibilities:
Production Department Support:
  • Assist the Production department with the planning and logistics of load-ins, load-outs, tech rehearsals, performances and locations.
  • Organize and identify logistical requirements related to production needs, including resource requests, technical assessments, studio assignments, production spaces and technical equipment.
  • Provide on-site show service support on scheduled dates or productions in theatre.
  • Review of technical drawings and riders as required. Modify or prepare technical drawings like plans and elevations.
  • Other production support functions and projects as requested by the Executive Producer.
Administrative & Budgeting:
  • Assist in organizing and maintaining files, records and documentation relating to Production and Facilities departments as necessary.
  • Support the Executive Producer in the creation, management, and adherence to established budgets.
  • Support the Production team with invoicing, and expense / visa claims for Executive Producer and Production team.
  • Maintain listing of all vendor contact information & contracts.
  • Support onboarding of new Production staff with HR. Facilitate safety orientations with Production staff of the Company & Warehouse buildings as required.
  • Schedule and coordinate planning meetings for Production teams with internal departments and external partners, arranging and distributing documents in advance of meetings and document meeting minutes.


Health & Safety:
  • Participate in Health and Safety Committee meetings and ensure safety needs are being met for Company production personnel.
  • Coordinate bi-monthly safety inspection of warehouse with supervisors. Ensure filling of documentation on Safety Hub site on Share Point and activate on identified maintenance or safety issues as required.
  • Assist with security system maintenance and alarm code activations / deactivations as required.


Qualifications & Key Competencies:


  • Minimum of 2 years of experience with basic knowledge of a technical theatre environment.
  • Degree in design or technical theatre and / or show production preferred.
  • Education in arts / performing arts would be an asset.
  • Ability to read technical drawings and riders an asset.
  • Event management, planning and scheduling.
  • Excellent attention to detail.
  • Ability to work independently.
  • Ability to work in a high paced environment requiring flexibility and adaptability.
  • Knowledge of budgeting and expense tracking.
  • Excellent organizational skills with strong attention to detail.
  • Strong ability to handle multiple projects and overlapping schedules and priorities.
  • Ability to communicate with and work within multi-departmental relationships and teams.
  • Proficiency with Office365 applications.
  • Positive, professional and proactive attitude with strong creative problem-solving skills.
  • Successful candidates will be required to complete a Police Background Check as a condition of employment.
  • First Aid / CPR Certification would be an asset.
Working Conditions:
  • This job is performed in the office and requires frequent sitting (often working on a computer), frequent walking, standing, bending and reaching. Due to computer usage, there may be repetitive motions of the hands and wrists.
  • Regular hours are typically Monday – Friday (40 hours / week). However, as a performing arts organization, there will be projects and pursuits that may require time above and beyond the typical work schedule or adapting work schedules to include evening and weekends.
  • This position will work out of the Company Administrative Offices, Warehouse and Theatre.
  • Availability for travel and evening / weekend work is required during performance weeks / touring.
