SUMMARY:
Reporting to the General Manager, Corporate Flight Operations, the Flight Operations Coordinator will support the coordination of all Pacific Sky flight operations; inclusive of planning missions, assisting with travel preparation and guest requirements as well as flight following and pre-flight requirements.
The salary range for this role is $65,000 - $85,000, however actual salary may fall outside of this range depending on various factors, including but not limited to, experience and expertise.
KEY ACCOUNTABILITIES:
- Collaborate with Management, Flight Operations, and Customer Service teams to plan corporate aircraft missions and maintain accurate passenger and crew information while coordinating all travel arrangements.
- Provide a professional, competent, and friendly first point of contact for clients via phone, email, or in person; ensuring that client privacy and service is maintained at all times.
- Record and enter all trip information into the flight operations software, including all relevant details (e.g. scheduled times, routes, personnel on board) and ensure all crew and passengers are briefed well in advance of the trip.
- Verify all flight times and crew duty times post-flight using Aircraft Logbooks and flight operations software.
- Perform flight following duties with respect to the aircraft in use; including Pacific Sky Aviation aircraft and other aircraft as required and requested; understanding and following all relevant weather advisories as well as PSAI and Transport Canada protocols.
- Following all procedures, policies and regulatory required actions in the event of an overdue aircraft.
- Adhere to all 604 flight operations, the Pacific Sky Aviation Private Operator’s Manual as well as all Transport Canada regulations.
- Assist with the administration of accounting related duties, including, the payment of flight-related expenses and charge backs to the correct cost centres.
- Maintain, coordinate and monitor changes to the crew schedule, aircraft maintenance schedule, dispatch schedule, Engineer on Call, Emergency Response Coordinator, and other required shift scheduling, as required.
- Manage vacation requests and scheduling, in coordination with the Management team; including, tracking vacation days requested, taken, and remaining for all employees.
- Coordinate the flight operations schedule to provide 24-7 (inclusive of weekends, evenings, holidays) support and monitoring of the dispatch e-mail account and phone line; ensuring timely response to all crew and clients.
- Provide monthly and annual reports as required to Management team.
- Monitor and replenish onboard commissary supplies, coordinate third-party catering orders, and maintain a clean and welcoming passenger lounge area.
- Engage in Safety Management System tasks, complete annual training, and participate in Emergency Response preparedness as needed.
- Assist the Management team with scheduling Flight Operations staff meetings and provide support for various administrative tasks.
- Maintain strict confidentiality of travel arrangements and activities for security and privacy reasons.
- Understand client travel objectives, interests, needs and preferences. Understanding of local conditions with cultural sensitivity and appreciation.
- Follow-up on trip progress on a real-time basis with continuing advance work as the trip progresses. Maintain client communication (either directly or through other staff) throughout the process.
- Manages all foreign travel requirements, including currency, visas, permits, passports, medical regulations, customs rules, importation and broker coordination.
- Support and implement the Pacific Sky business objectives. Contribute positively to the culture, growth and strategic direction of the company. Establish and maintain metrics for measurement of flight operations activities.
- Other duties as may be assigned.
REQUIREMENTS:
- Undergraduate degree or diploma in business administration or a related field.
- 5+ years experience in a senior administrative role.
- Computer-savvy with working knowledge of Microsoft Office (Word, Excel, Power Point, Outlook) and the ability to provide routine IT support in coordination with the System Administrator.
- Experience in the aviation industry and specifically flight dispatch is considered an asset.
- Working knowledge of the PSAI and Transport Canada Emergency Response procedures (or desire to learn and understand).
- Experience with and working knowledge of 604 flight operations as well as the PSAI Private Operator’s Manual (or desire to learn and understand).
- Experience and understanding of the Canadian Aviation Regulations.
- Service-oriented, pro-active, self-starter with good attention to detail.
- Strong ability to multi-task with excellent time-management and organizational skills.
- Ability to handle last-minute changes with grace and humour.
- Flexibility required with schedule for occasional evenings, weekends, or additional hours on an as requested basis.
- Excellent interpersonal as well as written and verbal English communication skills.
- Ability to maintain privacy and confidentiality at all times, exercise diplomacy, discretion and respect of boundaries.
- A valid class 5 driver’s license and clean drivers abstract and operational vehicle are required.
WORKING CONDITIONS:
Due to the service-oriented nature of our business, the successful candidate must be flexible with the willingness to work weekends, evenings and holidays on an as requested basis. In addition, while it is anticipated that the position will be located in Victoria, BC, additional travel to various operating bases may be required from time to time.
