The Royal Saskatchewan Museum (RSM) requires for a one-year term, a part-time Booking and Administrative Coordinator.
Typical hours of work in this position are: 60% of full-time hours variable between Mon-Fri though occasional evening or weekend work may be required. The position would require the flexibility to work 100% of full-time hours during periods of higher workload.
Key duties of this position include:
- booking and scheduling school programs, organized group visits, and facility rentals;
- developing and maintaining an efficient system of information management and communication with both group leaders, facility use renters and the museum program delivery staff;
- promote the RSM school programs within the education community by providing information at educator conferences, meetings, etc;
- solicit teacher feedback through actions such as satisfaction surveys;
- respond to and/or route general email inquiries to the museum;
- greet and assist school groups and regular museum visitors at the Visitor Reception desk in the museum lobby to assist program delivery staff when needed.
This position would also provide administrative support to:
- Facility rentals - working with clients, showing of facilities, scheduling event attendants, and invoicing clients and facility partners;
- Financial expenditures - monitoring, coding and processing business expense forms and invoices, reconciling purchase card expenditures, passing information onto the Executive Director;
- Coordination of building access fobs;
- Ordering office supplies;
- Editing, formatting and proofing branch documents.
The successful candidate will have:
- demonstrated interpersonal skills, including the ability to communicate effectively with teachers, renters, the general public and co-workers in a courteous, diplomatic and professional manner;
- demonstrated customer service skills with a positive, proactive and visitor-focused approach;
- well-developed oral and written communication skills with a focus on accuracy and attention to detail;
- ability to work in an organized and independent manner while contributing to a team environment;
- knowledge of computer hardware, word processing and spreadsheet software applications (e.g., Word, Excel, e-mail) for entering, retrieving and formatting data, creating spreadsheets and tables, typing briefing notes, reports, and correspondence.
Typically, these skills would be developed by at least two years’ experience in a client service or administrative role.
The salary for this position will be updated to $24.079 – $30.174 once Class Plan Renewal process is completed and HR system has been updated.
