The Administrative Assistant is responsible for providing administrative and clerical services to ensure effective and efficient operations and be actively involved with the safety program. RESPONSIBILITIES Provide administrative duties to ensure that company safety operations are maintained in an effective, up to date and accurate manner. Main Activities:
Organize safety training and maintain certificates.
Maintain confidential records and files
Provide receptionist services
Greet and assist visitors
Answer phones and direct calls and respond to inquiries
Take minutes at meetings and distribute as required
Type correspondence, reports and other documents
Coordinate repairs to office equipment
Perform other related duties as required
KNOWLEDGE, SKILLS AND ABILITIES Knowledge: The incumbent must have proficient knowledge in the following areas: have a working knowledge of office administration, be proficient with construction safety programs, ability to maintain a high level of accuracy and confidentiality concerning company and employee files. Skills and Abilities: The incumbent would normally attain the required knowledge and skills through completion of Business Administration and combined with related administrative experience. Equivalencies will be considered. The Safety Administrative Assistant will also have to do some lifting of supplies and materials from time to time. The incumbent is located in an open area office. The incumbent is faced with constant interruptions and must meet with others on a regular basis. Administrative Duties:
