We are seeking a dynamic and organized Administrative Assistant to join our team. The ideal candidate will be a self-motivated individual with excellent organizational and interpersonal skills. This role is pivotal in ensuring the smooth operation of our studio, providing essential support to our team of architects and engineers. The ideal candidate will be performing mentioned duties but not limited to:
Handle diverse duties including organizing, coordinating, planning and ordering supplies.
Answering multi-line phone system, routing calls, delivering messages to staff and greeting visitors.
Maintain and schedule appointments for all events.
Arrange travel schedules and make reservations
Collaborate with staff members and contribute to overall success.
Daily bookkeeping while ensuring time entry, bills and expenses to prepare customer's invoices.
Maintain both physical and digital filing system for records.
Oversee payroll administration.
Type and proofread correspondence, forms and other documents.
Open and distribute mail and other materials.
