Primary objective
Provide program and housing asset administration advice, services, and support to the Housing Program Office (HPO) team
to support and achieve the overall objective of delivering remote housing program and other housing asset related programs.
Key duties and responsibilities
1. Provide advice and support to HPO Directors and Managers to ensure administration of programs and housing assets
are compliant with business processes and accountabilities.
2. Provide data recording, documentation and record keeping services related to assigned Capital Works housing projects
as well as Minor New Works, Repairs and Maintenance, Consultancy and Recoverable Works Projects.
3. Assist with collating weekly and monthly reports to provide data to assist the regions with monitoring their budgets and
open orders.
4. Reconcile program data, interrogate the ledger, and undertake reporting requirements, including end of month reports
for the Program.
5. Ensure project data is accurate and captured in the Asset Information System/ASNEX, and Departmental record
management system TRM.
6. Establish and maintain productive working relationship with clients and communicate effectively, both orally and in
writing, on all matters relating to project administration.
7. Assist with development, initiation and ongoing review of program administration processes and reports, spreadsheets,
and graphs to efficiently manage housing programs.
8. Ensure compliance with financial and procurement legislation.
Selection criteria
Essential
1. Demonstrated experience in providing program administration support to Project Managers/Directors for construction
related programs or similar.
2. High level attention to detail and accuracy in data entry and reporting including the ability to develop reports,
spreadsheets, graphs and maintain data integrity.
3. Effective communication skills, oral and written skills to enable communication between stakeholders and external
clients.
4. Knowledge of program administration procedures, systems and relevant legislation and guidelines related to
construction.
5. Demonstrated ability to respond positively to change with a commitment to ongoing improvement.
6. High level organisational skills, including the ability to set own work priorities and complete tasks within tight timeframes.
7. Experience with using asset management systems such as AIS/ASNEX, or similar, and Microsoft Office suite of
applications, including Microsoft Word, Excel, and Outlook.
Desirable
1. Understanding the challenges facing the delivery of housing programs in remote Northern Territory communities.
