About the Role
We have an exciting new opportunity for a full time People & Culture Administration Officer to join our corporate team.
The People & Culture Administration Officer with Executive Assistant (EA) duties will undertake a dual role in supporting the operational and strategic initiatives of the Kelsian Corporate People & Culture team. The role will support generalist human resource initiatives as well as high level confidential administrative support to the Group Chief People & Culture Officer (GCPCO) and Group Chief Information Officer (GCIO).
You will be required to:
People & Culture Administration Support
Assist with the coordination and execution of P&C initiatives, including employee engagement programs and initiatives, training and development activities, and recruitment processes.
Support the management of Kelsian's Service Recognition Program.
Coordinate performance review cycles and ensure deadlines are met.
Support Kelsian recruitment by developing recruitment advertisements within our recruitment platform, Expr3ss.
Support new Kelsian employee contracting within HROnboard.
Support preparing variation employment agreements for existing Kelsian employees within HROnboard.
Maintain accurate and up-to-date HR-related records, databases, and filing systems for the Corporate P&C department.
Prepare and distribute internal communications related to Group/Corporate P&C programs and initiatives.
Provide support for Group/Corporate P&C projects and special events, including organising meetings, workshops, and training sessions.
Perform general office duties, such as processing invoices, and managing expenses.
Executive Support
Provide professional administrative support to the Group Chief People & Culture Officer (GCPCO) and Group Chief Information Officer (GCIO), including managing Outlook calendars, scheduling meetings, preparing documents and presentations and credit card reconciliation.
Coordinate travel arrangements and accommodation for the GCPCO/GCIO and other Corporate P&C team members, as required.
Compile meeting agendas, briefing documents for meetings and appointments.
Prepare reports, presentations, and documents for executive meetings.
Coordinate, compile and finalise P&C and IT Board reports including formatting prior to submission.
Handle confidential information with discretion and professionalism.
About You
You will have excellent interpersonal skills and be an effective communicator (both verbally and in writing). With close attention to detail, you will be required to demonstrate discretion and confidentiality in handling sensitive information
You will also have the following:
Certificate/Diploma in Human Resources, Business Administration, or related field.
Previous experience in an administrative role, preferably in a P&C or executive support capacity.
Familiarity with HR Systems and proficient in tools such as Microsoft Office Suite (Word, Excel, Power Point, Outlook)
Desirable – Experience working in a fast-paced corporate environment, especially in HR or people & Culture teams.
Key to success in this role, you will be able to work independently in a fast-paced and diverse environment. You will also have exceptional organisational skills with the ability to manage multiple conflicting priorities and be able to build effective working relationships with all stakeholders.
