Join our team as an Executive Assistant at BOQ Business Bank!
Are you a master of organisation and communication? Do you thrive in dynamic, fast-paced environments and enjoy supporting senior leaders? If so, we have the perfect opportunity for you on a 12-month Max Term Contract. As an Executive Assistant at BOQ Business Bank, you’ll be the right hand to a senior leader, ensuring their day-to-day operations are seamless. You’ll manage and coordinate the leader’s diary, understanding their needs and priorities to keep their schedule on track. You’ll also screen their emails, handle correspondence, and source pre-materials for meetings and events, ensuring they’re always prepared. Travel arrangements will be a breeze with you in charge, as you’ll manage both domestic and international logistics. You’ll also prioritise and manage issues, redirecting or escalating matters as needed to keep everything running smoothly. Supporting the leader’s office, you’ll handle the administration of internal and leadership team meetings, coordinate events, and process weekly payment requisitions and corporate expenses. Building strong relationships with the leadership team and Executive Committee executive assistants will be key. You’ll prepare high-quality, sensitive, and confidential documentation, coordinate leadership team meeting papers, and continuously look for ways to improve processes, including effective budget management.
About you
Our successful candidate will have experience supporting senior executives and be comfortable working with ambiguity and complexity. Your ability to engage broadly and communicate effectively with a range of internal and external stakeholders is crucial.
We value a proactive, one-step-ahead work ethic and attitude. You’ll need to anticipate scheduling conflicts and recommend solutions, demonstrating strong teamwork and interpersonal skills. Your superior communication skills will help you work across all levels of the organisation. Technical proficiency in Word, Outlook, Power Point, and Microsoft Teams is essential. You’ll need to perform well in a demanding and high-pressure environment, be a forward thinker, and adapt to changing priorities. Diary management and planning are key aspects of the role, as is the ability to handle sensitive and confidential issues at a senior management level. Attention to detail and a collaborative approach are vital, along with a proven ability to use your initiative. We also value highly developed communication skills with an approachable and open style. Flexibility to work additional hours when required is a plus.
